Position Summary

We are searching for a talented Executive Assistant to provide effective support in various organisational activities such as scheduling, travel arrangement and other administrative services to executive management.

Duties and responsibilities:
Manage schedule and calendars for an executive leader: prioritise inquiries, manage requests, adjust conflicting meetings, support the smooth daily schedule flow.
Support the board meetings: arrange and coordinate meeting schedule, prepare agendas as needed, share schedules and materials accordingly.
Provide administrative support: accommodate CxO needs including coordination of meetings, documents, correspondence, presentations with internal and external client groups.
Be the primary contact for internal and external stakeholders to direct communications, including confidential and urgent matters.
Follow up on status checks and keep the executive management updated.
Plan and organise meetings, conferences, strategic sessions, as needed.
Keep open and regular communication with the team globally.
Manage information systems relating to executive management needs.
Manage the expense and reimbursement process.
Manage business travel per internal policy, including visa and other travel-related documentation and application submission.
Other business-related needs.
Qualifications:
5+ years of current/previous international executive assistant experience.
3+ years of experience working for a fast-paced tech environment supporting C-level executives.
Strong ability and will to become a part of fast-moving, diverse and inclusive team.
Strong knowledge of MS office solutions.
Excellent organisational skills.
Excellent multi-tasking skills.
Excellent time management skills.
Strong ability to work under pressure and handle multiple projects and deadlines.
Proven effective communication skills.
Ability to work both independently and as a part of a team.
Ability to handle confidential information.
