If you’ve ever wanted to be part of an innovative business, on the cutting edge of reinventing being together, this is your chance!In this role, your main missions are:Strong attention to detailAnticipate problems before they arise, and take care of all the little details that allow the Leadership Team to do their best workHigh level of professionalism and ability to be trusted with sensitive and confidential informationApproach each day with a positive attitudeAlways looking for ways to implement process improvements to make each day better than the lastWhat we are looking for You. . .Provide administrative support to the DDC (Design, Development and Construction) Leadership Team, including but not limited to the following:Ensure smooth flow of information between the DDC Leadership Team and other Corporate Departments.Maintain DDC Department records, documents, logs, and files.Coordinate major DDC events including national conferences and ICSC events.Coordinate with other office coordinators, executive coordinators and executive assistants.Schedule, communicate, and prepare conference rooms for meetings, teleconferences, and video conferences.Prepare PowerPoint presentations for DDC Team.Type correspondence and reports with extreme attention to detail and accuracy.Process the incoming and the outgoing mail. E-mail procedures are to be discussed.Schedule appointments and maintain calendar for the DDC Leadership Team.Plan all aspects of domestic and international travel, optimizing and balancing time with cost of travel, including forecasting and managing to the travel budget.Prepare and submit expense reports in a timely manner (Nexelus preferred). Coordinate the expense report approval process for the EVP, Design and Development and Construction.Monitor the accuracy of the URW Intranet DDC page, department contact Lists and emergency contacts.Handle multiple tasks, switching priorities and focus as needed, build relationships with people and teams across the company to foster process improvement and resolve issues.Perform and prioritize special projects as directed; handle confidential and sensitive information.’No task is too small’ approach.And all other duties and responsibilities assigned by DDC Leadership Team and Executive Assistant.Five years + experience as an administrative assistant and/or professional analytical experience – supporting team of professionals.High Proficiency with computer, Microsoft office (Word, Excel, and PowerPoint).Proactive, positive, can-do and team-oriented attitude.Strong professional communication skills to interact with all internal and external professionals.Strong written and grammatical skills and proof-reading ability.Customer oriented across all communication points.Attentiveness to detail: ability to follow through, think ahead and through responsibilities, double check work before proceeding.Excellent organizational skills and ability to work independently, assess priorities, and manage a variety of activities, paying attention to detail under tight deadlines and heavy workload.Ability to work occasional overtime with limited notice.What is important to us The following values bring us together and guide our actions.
