Executive Associate

We are hiring an Executive Associate to help us realize our mission to better the lives of animals by building a place that’s better for all of us who love them.

Acting as the critical support for our C-suite, the individual in this role will be responsible for setting up our leaders for success with efficient planning, communication and organization.

More specifically, the Executive Associate ensures the C-suite’s day-to-day is spent as effectively as possible. The individual in this role manages a wide arrange of duties, including calendar planning, meeting follow-ups, communication planning, culture building touch points, and team building logistics. This role is an exciting opportunity to showcase a broad range of skills while helping to execute key initiatives for the company. This individual is an integral member of the team working to enhance processes and strategies across the company.

The individual in this role thrives in an energetic, fast-paced environment with a diverse group of professionals across levels, is extremely well organized, flexible, proactive, resourceful and efficient, and operates with the highest level of professionalism. This role is based in Los Angeles and will require travel, local and national, including some time in our clinics and develop an expertise in the operational foundations of Modern Animal.

Key Responsibilities:

  • Time & Process Management
  • Support the CEO and COO in ensuring the overall strategy of the company is executed by facilitating decision making and key implementations
  • Ensure the company calendar ties together key initiatives and company milestones
  • As necessary, manage email and follow-up correspondences, especially with external parties
  • Coordinate C-suite calendars as necessary to ensure effective time management and agile decision making
  • Evaluate and improve current operations and coordinate organizational procedures for optimized efficiency and productivity
  • Team & Culture Building
  • Support the growth of the team through tracking org chart, decision making and meeting ownership
  • Facilitate key communications for the CEO and COO, including drafting messages and presentations
  • Define and implement cultural touchpoints for the CEO and COO, to ensure the mission and values of the company come through as we scale
  • Implement surprise and delight moments to build a culture of recognition and team development
  • Planning & Personal Support
  • Complete personal tasks as requested to ensure the CEO and COO are using their time efficiently
  • Schedule appointments, complete forms and documents (including school and activity forms), schedule travel, manage calendar and personal to-dos as appropriate, not to exceed 20% of time
  • Complete errands or tasks that are reasonable and appropriate, including relocation support for the COO

Why you’d be a great fit:

  • Bachelor’s degree required 
  • 4-5 years of Executive Assistant experience or currently in a Chief of Staff role
  • Proven responsibility with confidential company information
  • Highly focused and energetic individual who works well with others
  • Facility for working in fast-moving, entrepreneurial environments dealing with multiple projects at a time
  • Excellent verbal and written communication skills
  • Hands-on, can do approach and demonstrated humility, with zero hesitation to jump into any situation necessary in the field or otherwise
  • Exceptional organization skills and ability to manage multiple project simultaneously
  • Operate with high emotional intelligence and exceptional listening / communication skills
