Job Description:
Pilgrim School, founded in 1958, is an independent, co-educational, day school for students in Early Education through Grade 12 and day/boarding for grades 9-12. Pilgrim School is located in Koreatown and it attracts a student body that reflects the city’s diverse population.

Job Requirements:

Essential Duties and Responsibilities

The Executive Assistant to the Head of School will: 

• Serve as First point of contact for the Head of School’s office
• Direct the activities and projects emanating from the Head of School’s office
• Able to manage and oversee school calendars
• Maintain the Head of School’s calendar, process mail, answer the phone
• Handle expense reimbursements
• Make travel arrangements on behalf of the Head of School
• Arrange and keep minutes for weekly school leadership meetings
• Work closely with Board Chair and HoS to arrange bi-monthly Board meetings and attend/manage
• Work collaboratively with all constituents, including alumni, parents, grandparents, students, faculty and staff, and leadership volunteers
• Additional responsibilities as assigned by the Head of School

Requirements:

•Bachelor’s degree
•Excellent organizational skills
•Meticulous attention to detail
•Able to work collaboratively and effectively with variety of constituencies
•Able to work effectively in fast paced educational environment
• Self-starter, good initiative, and ability to learn new systems with minimal training
• Open-minded, can-do attitude
• Ability to stay on top of many disparate, unrelated larger projects concurrently as well as maintaining day-to-day smaller tasks with frequent interruptions
•Excellent communication skills, both verbal and written
•Demonstrates tact, patience, professionalism, and a sense of humor in all settings
•Comfortable in social situations
•Possesses a high-level of social and emotional intelligence
•Ability to work both independently and in a team environment
•Conscientious, self-motivated, diplomatic, and collaborative
•Ability to maintain confidentiality
•Ability to prioritize tasks appropriately and strong problem-solving skills
•Proficient using the Microsoft Office suite (Word, Excel, PowerPoint) or other similar applications (e.g., Google Docs)
