Executive Assistant to CHRO

The Executive Assistant reports to the SVP and CHRO and participates in a variety of projects, programs, and initiatives that are typically division-wide or organization-wide.

Collaborates with cross-functional teams on strategic business unit objectives.

Plans, organizes, and implements assigned projects.

The Executive Assistant also performs administrative support to include supporting the smooth functioning of the HRG department including scheduling and coordination of in-person and virtual meetings, arranging travel and logistics, composition of agendas and correspondence, processing of expenses and reimbursements, ordering supplies, overseeing catering for meetings and assisting with meetings and events as required.

Responsibilities: Provides high-level professional administrative support directly to the CHRO and HR VP’s in all aspects of the daily work routine.

Maintains the CHRO’s calendar, schedules meetings, appointments, speaking engagements, and travel arrangements.

Exercises discretion in committing time and evaluating needs.

Serves as the liaison between the CHRO, staff, and external customers/vendors, including receiving and screening phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages, and appropriately directing calls for resolution.

Keeps the CHRO advised of time-sensitive and priority issues, ensuring appropriate follow-up.

Determines priority of matters of attention for the CHRO.

Redirects matters to staff to handle, or handles matters personally, as appropriate.

Maintains confidential and sensitive information.

Composes and prepares letters relating to routine correspondence for signature and coordinates onboarding activities for new hires within the department.Schedules departmental meetings.

Assists in the preparation and distribution of meeting agendas and materials.

Attends meetings, takes notes, and prepares summaries and reports of the meetings.Tracks project/program activities and participates in project activities, including preparing budget or ad-hoc reports, monitoring vendor invoices, ordering and inventory control, etc.

Builds collaborative working relationships across the organization, with external partners, and/or with vendors.

Maintains an understanding of the relationships important to the department’s work.

Qualifications: High school diploma required; Bachelor’s degree preferred.5 years of administrative experience.Proficient with Microsoft Office suite (Word, Excel, PowerPoint).Experience with AARP administrative systems (Navigator, Concur, etc.).Ability to act with integrity, professionalism, and confidentiality.In-office/open office environment with the ability to work effectively surrounded by moderate noise.Flexible Work Arrangement (FWA)AARP observes Mondays and Fridays as telecommuting workdays, except for essential functions.
