Executive Assistant to C-Level Executive

A fast-growing company in Los Angeles is seeking an ambitious, smart, self-driven individual to serve as the Executive Assistant to one of their C-Level Executives. They are looking for someone who takes genuine pride in their work and is a master at handling competing priorities. On a daily basis, the Executive Assistant handles all office management duties and coordinates daily administrative tasks which include prioritizing and organizing emails, rolling phone calls, scheduling appointments, maintaining a complex and busy calendar, assisting with presentations, handling all communications, and so on. The ideal candidate for this job is resourceful, has high integrity, is proactive, and reliable. Key Responsibilities:

  • Manage a heavy calendar for both the Executive and Department
  • Assist with meeting coordination, note-taking, and agendas
  • Plan all department-level activities, including off-sites, workshops, and team-building events.
  • Create high-quality PowerPoint and Excel presentations for the Executive
  • Manage all internal and external communications such as calls, emails, memos, and other documents.
  • Coordinate complex travel arrangements
  • Assist with digital filing and expense reports
  • Manage various projects for the department as needed

 

Qualifications/Skills:

  • Bachelor’s degree preferred
  • Mastery of Microsoft Word, Excel and PowerPoint as well as Adobe Acrobat. 
  • Excellent written and verbal communication skills
  • Strong sense of responsibility, accountability and ownership, and excellent attention to detail. 
  • Ability to complete assigned tasks with minimal supervision and manage a high volume of work in a fast-paced environment.
  • Ability to deal with sensitive & confidential information.
