(“AirQuest”), a growth-oriented environmental and industrial hygiene consulting firm, seeks a qualified executive assistant.

The Executive Assistant is responsible for the day-to-day administrative support of the Operations Department.

This position provides comprehensive executive administrative support internally and externally and acts as the liaison to the President of the company and others as assigned.

This position will be privy to highly confidential and sensitive information and materials and must be able to handle information in a professional and private manner.

Assist executive by maintaining licensing, registration, and certifications of the company and/or employees.Maintain calendar appointments (issue meeting invitations and resolve calendar conflicts across multiple calendars).

Monitor compliance training requirements to ensure that employees complete assigned training.Ensure human resource files and records are maintained in accordance with legal requirements and company policies and procedures.Support executive by providing basic technical support to staff for computer tech-related issues such as hardware, computers, printers, and/or software.Updates and maintains termination and separation paperwork.Provides support with training records audits.Provides support with recruitment and the onboarding of new hires.Partner with departmental managers to identify their HR needs and objectives and collaborate with the HR leadership team to meet those objectives.Assist with various human resources plans and procedures for all employees; assist in the development and implementation of human resources policies and procedures; ensure all legal documents are accessible and posted as required.Lead and coordinate employee new hire onboarding, orientation and related events.Answering screening and forwarding incoming phone calls.Creates and revises systems and procedures for optimum efficiency.Provide support for presentations, spreadsheets and other documents as required (includes preparation, proofreading, verification and assembly of documents).Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.Perform other clerical duties such as filing, photocopying, transcribing and faxing.Ability to quickly learn organizational structure, department operations and processes, corporate policies, corporate systems and organizational procedures.Compile expense reports and processing.Make independent decisions regarding planning, organizing, and scheduling of work.SkillsAttention to detailAdvanced MS Office® SkillsHands-on experience with office equipment (e.g.
