Success in the Role: What are the performance outcomes over the first 6-12 months you will work toward completing? We are seeking an Executive Assistant with passion, high integrity, great communication skills, and problem-solving ability. Over the first 6-12 months you will learn to support and coordinate projects for one or more executives within VMware’s Service Provider and Edge Business Unit. Responsibilities may include: Heavy calendaring and email management including assessing priority for assigned executive. Coordinate and plan meetings, conference calls, and special events, including arrangement of logistics, meeting space, communications, and catering Arrange and confirm local, domestic, and international travel for the executive(s) Facilitate clear communication and maintain credibility, trust and support between the assigned executive(s) and internal staff, and with external clients and partners Create, edit, and proofread business communications and documents utilizing MS Word, Excel, and PowerPoint, google docs, slack and email Prepare/track expense reports Create/track purchasing requests as required Special projects on an as-needed basis Support general organization activities such as organization chart updates The Work: What type of work will you be doing? What assignments, requirements, or skills will you be performing on a regular basis? As the primary point of contact for the assigned executive(s), the Executive Assistant is responsible for overall coordination, communication, effectiveness, and efficiency of each executive’s calendar. The Executive Assistant (EA) will support executive(s) within the Service Provider and Edge Business Unit (SEBU). The EA will manage a wide range of advanced administrative and executive support-related tasks, will be able to work independently within established guidelines, and will make independent decisions regarding planning, organizing, and scheduling work. The ability to interact with senior leaders and others at all levels, in a fast-paced environment, while remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert-level written and verbal communication skills, strong decision-making ability, and attention to detail are equally important. Day-to-day duties Liaise with senior-level leaders and team members across the SBU and other BUs and GTM teams Balance management of demanding Outlook calendar requests with keeping the VP accessible Coordinate domestic and international travel and expense reporting Schedule large cross-functional meetings and provide follow-ups Manage multiple projects simultaneously Handle and maintain highly confidential and sensitive information Serve as the brand extension for leaders you support, escalating and communicating on their behalf and serving as a team liaison Event planning as needed for team off-sites, business and operational reviews, and other team meetings, including arranging meeting rooms and catering requests Initiate purchase orders, reconcile invoices, and complete/track expense reports Act as back up for the other Executive Assistants within the SBU GTM team; supporting other VPs and GMs Success Factors Ability to handle and apply excellent judgement when dealing with highly sensitive and confidential material and information Excellent organizational, project, and time management skills with an eye for detail and a strong sense of urgency and efficiency in completing work Ability to take initiative, be proactive, work independently, and make good judgement calls Advanced level skills with PowerPoint, Excel, MS Word, and Outlook Advanced proficiency with MS Office Suite and other collaboration tools Calendar management and hands-on coordination of travel logistics Demonstrable experience providing executive level support and supporting multiple senior leaders simultaneously Highly organized with the ability to perform multiple tasks and handle changing priorities successfully in a fast-paced environment with little direct supervision Demonstrated ability to interface with high level internal and external contacts Demonstrated leadership and mentoring skills Discretion, diplomacy, and excellent judgment Excellent verbal and written communication skills Experience with extensive international and domestic travel arrangements Extensive experience of high level, complex executive administration work experience supporting senior-level executive(s); corporate setting preferred Must be able to work with individuals at all levels of the organization Must possess a high degree of integrity when dealing with confidential and sensitive information Polished, professional demeanor and exceptional poise under pressure Positive and personable with strong interpersonal skills and an upbeat, “can do” attitude Proven ability to manage multiple tasks simultaneously and prioritize workload This role will be performed remotely with less than 5% travel per year What is the leadership like for this role? What is the structure and culture of the team like? The hiring manager for this is role is Sanjay Uppal. Sanjay is the SVP and GM for our Services and Edge Business. Sanjay was the co-founder of Velocloud which VMware acquired about five years ago and he now heads up all our Service Provider and Secure Access Service Edge business. This team has been historically based out of VMware’s Palo Alto office however this role is open to fully remote, but preferably from Pacific Time zone.
