Executive Assistant – Digital Win Room

The Digital Win Room (DWR) is an essential global sales leadership function driving positive outcomes for our most critical customers and sales opportunities.

The DWR organization and it services accelerate progress with customers and opportunities through partnership with selling Account Teams.

We are seeking an experienced and highly motivated Executive Business Administrator (EA) to support DWRs General Manager, Leadership Team and stakeholders.

As DWRs EA you will operate in a variety of capacities, working with leadership to plan and deliver DWR services to senior leaders across Sales, Finance, and Engineering teams demonstrating excellence in administrative functions.

You will be responsible for Executive-level interfaces, contact with all levels of Microsoft stakeholders, calendar management, executive business rhythms, staff and vendor setup/onboarding, travel and expense management and support for team morale.

The ideal candidate is a cool, highly-organized and focused persona, accommodates different work styles, demonstrates consistent judgment, make timely decisions in a fast paced/complete environment, and set priorities and plan across multiple projects.

He/she must be able to navigate and change direction quickly, embrace ambiguity and challenges head-on with confidence and a positive attitude.

The ideal candidate works well independently and partners well with others, meets deadlines and deliverables, is flexible while also structured and methodical.

Responsibilities

Duties include, yet not limited to:

Proactively manage and prioritize complex calendars and executive series, including proactive planning of organizational and key stakeholder meetings to drive schedule efficiencies

Manage team rhythm of business, including monthly, quarterly and team morale events and in partnership with business manager.

Anticipate needs: make administrative decisions and requests for information on behalf of the leader based on understanding of business group priorities.

Knowledgeable of policies and procedures: purchasing, expense report submission, and domestic and international travel management, trip preparation and expense reporting.

Forecast and manage budgets and team procurement.

Acting as interim approver on team expense reports, ensuring coding accuracy.

Manage data: HR data, headcount, aliases, distributions lists (DLs) and ad hoc reporting or org tools

Coordinate department facility operations, including space planning, office moves and periodic events

Daily team support including new hire set up, purchase of goods & services, process invoices.

Ensure compliance with administrative operations policies and procedures.

Is deliberate and forward-thinking in approaching challenges.

Liaises with DWR Team stakeholders and executive staff

Perform any ad hoc administrative tasks

Qualifications

Minimum Qualifications:
5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management
Additional or Preferred Qualifications

Bachelor’s Degree in relevant field (e.g., Business Administration, Human Resources (HR), Marketing, Communications, Psychology, Sociology)

OR equivalent experience.

2+ years experience serving as mentor to others.

3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).

The salary range for this role in the state of Colorado is from $63,800 to $83,000.
