Vanoss is looking for an Executive Personal Assistant to support him in daily activities.
The EA will be experienced, motivated, and a highly organized professional.
This position requires a critical thinker with an eye for detail and the ability to work in a dynamic, fast-paced environment.
The ideal candidate will be ready to provide service at a moment’s notice, stay cool under pressure, a willingness to handle any task, and can handle multiple projects fluidly.
Relationship building and schedule management will be a priority and excellent communication skills are a must.
Responsibilities:
Work directly with Vanoss to ensure streamlined activities and to help him be more productive and effective
Organize meetings including scheduling and sending reminders when needed
Serve as a proxy and information funnel, filter, and facilitator
Physically assisting with all requested tasks including running various errands day-to-day and picking/dropping off whatever is needed
Manage the flow of incoming and outgoing materials and requests, including determining the appropriate parties and level of response
Problem solving skills when tasked with buying a specific item that is unable to be located, requiring trips to different stores
Book transportation: make complex international & domestic travel arrangements, sometimes with little notice; provide comprehensive itineraries
Handle other administrative duties as needed as well as personnel paperwork at times
Qualifications:
Ability to work efficiently and perform daily duties with minimal supervision
Strong communication skills and the ability to discern important tasks from urgent
Highly organized, effectively prioritizes and responds accordingly
Ability to be discreet and maintain confidential information
Naturally well organized and can remain calm while working under pressure
Ability to multi-task and demonstrate good time management
Willingness and flexibility to work evenings and weekends when needed
Proficiency with computers, internet, email, telephone, and office equipment
Exceptional attention to detail as well as the ability to see the big picture
Confident and approachable demeanor
Possess a strong commitment to quality
Must have a valid driver’s license in order to run day-to-day errands
