Executive Assistant

Primary Purpose

Perform executive secretarial and administrative support for Executive(s). Communicate and coordinate activities with upper-level executives.

Duties and Responsibilities

* Provide assistance to executive(s) by handling various administrative and secretarial duties, to ensure efficient office operation.
* Maintain strict confidentiality in all matters.
* Review and proofread written material to ensure accuracy, neatness, proper spelling, punctuation, and grammar.
* Recommend changes to improve readability and clarity.
* Maintain confidential and specialized files and records.
* May take and transcribe dictation of a technical or highly confidential nature.
* Arrange and monitor meetings, Executive’s calendar, catering, and travel requests.
* Prepare proper forms and follow through with proper expense account preparation.
* Assist in planning meetings and developing agendas.
* Maintain familiarity with Corporation and division activities, including organization, workflow, and operations.
* Use discretion in answering and screening mail, email, and telephone calls.
* Respond to or route inquiries to appropriate personnel or Department.
* Bring attention to matters of major importance.
* Research, compile and summarize information to prepare correspondence.
* Greet employees and external personnel.
* Provide periodic and short-term relief to other Executive Assistants.
* Performs other duties as assigned (no more than 5% of duties).
Education

* Associate’s degree is required. Bachelor’s degree is preferred.
Experience

* 3 or more years of related experience as an Executive Assistant, office manager, paralegal, or administrative assistant.
Knowledge, Skills and Abilities

* Proficient in Microsoft Suite including Word, Excel, Power Point.
* Ability to type accurately using standard business vocabulary and grammar.
* Excellent organization and time management skills.
* Excellent interpersonal, verbal and written communication skills and excellent writing and editing skills.
* Must demonstrate sound judgment, a high degree of personal integrity and the ability to handle confidential tasks and information.
* Ability to work effectively with all levels of employees and external contacts.
Licenses and Certifications

* Valid California driver’s license. Required.
