Executive Assistant/Office Manager

Location: Los Angeles

Our client, an Independent Wealth Management and Investment Advisory firm, is seeking an Office Manager/Executive Assistant to provide support to the firm’s Founder in their Los Angeles office.

The Office Manager/Executive Assistant will serve as the primary point of contact for internal and external person(s) on all firm-related matters.

 

The ideal candidate will serve as a liaison to the firm’s clients, organize and coordinate executive outreach and external relations efforts, and oversee special projects.

This individual must enjoy working within a small, entrepreneurial environment that is results-driven and client-centric.

 

Responsibilities
Completes variety of tasks for Founder, including managing extremely active calendar of appointments, preparing correspondence that is often confidential, and compiling documents for meetings Plans, coordinates, and ensures Founder’s schedule is followed and respected; provides key “gatekeeper” and “gateway” role Communicates directly and on behalf of Founder with staff, clients, and others, on matters related to Founder’s desk Researches, prioritizes and follows up on incoming issues and concerns, including those of sensitive or confidential nature Provides leadership to build relationships crucial to success of organization and manages variety of special projects for firm, some of which may have organizational impact Successfully completes critical aspects of deliverables with hands-on approach, including drafting client communication, personal correspondence and other tasks that facilitate firm’s ability to effectively lead and scale Prioritizes conflicting needs, handles issues expeditiously and proactively, follows through on projects to successful completion, often with deadline pressures
 

Qualifications
Bachelor’s degree preferred Three years of experience supporting Executive Management, financial services industry required Proficient in G-Suite, Salesforce, eMoney, Back Diamond, and Asana Strong organizational skills with excellent attention to detail Highly resourceful team-player with ability to also be extremely effective independently Be adaptable to various competing demands and demonstrate highest level of customer/client service and response Ability to achieve high performance goals and meet deadlines in fast-paced environment
