Executive Assistant

CohnReznick currently has an Executive Assistant opportunity located in our California office. This is a Temp position.

Responsibilities include but are not limited to:
Organize team scheduling meetings and maintain schedule updates in staffing system; Coordinate calendar and schedule management as requested; Assist with time & expense entry as requested; Book travel arrangements as requested; Arrange in-house trainings, book conference rooms, coordinate attendees, all logistics, and arrange meal service; Compose, prepare and distribute written materials for management using sound judgment including correspondence, memos/letters, agendas, presentations, and minutes; Act as liaison with IT, office services and marketing; Run client-specific reports; Prepare client engagement letters; Set up Sharefile sites to receive and download client information; Request set-up of clients using firm software and follow through for progression of requests in the system Process invoice requests and back-up materials required to invoice client accounts; Prepare basic excel schedules for billing and analysis of expenses for clients; Create power point slide decks and modify them as needed; Proof read proposals and make necessary grammar edits; make edits to and format proposals Communicate with clients to answer questions, handle their requests by either email and phone; Juggle multiple projects at one time and complete daily tasks with expediency; Maintain managements contacts and mailing lists; Assisting the team with daily workflow; Provide assistance with external business development meetings; Serving as a backup Receptionist, as needed; and Performing other duties as assigned.

Required Skills:
Minimum 5+ years of administrative/office work experience Excellent organizational and interpersonal skills Mastery of MS Office
– Word, Excel, PowerPoint, Outlook and Adobe Acrobat Ability to learn other software programs quickly Manage multiple tasks simultaneously Strong written and verbal communication skills Knowledgeable of business grammar and basic proofreading skills Professional demeanor and appearance necessary at all times Demonstrated customer-focused experience interacting with senior level executives Meticulous attention to detail and strong follow-up skills, required Ability to learn new computer programs Capability work in a fast-paced environment and meet deadlines Ability to prioritize unexpected quick turnaround tasks Demonstrated team player with a flexible personality and positive attitude!
