Job Summary:

Our Executive Assistant (EA) will report to the CEO will be an integral part to the Vive Team in helping keep both the CEO and other Executives organized.

This proactive person will manage an ever-changing executive calendar, including planning meetings and conference calls, along with heading up special company projects as needed.

This person needs to be extremely well organized and detail oriented.

The EA will promote the CEO’s vision as well as enrich company culture through collaboration, creativity and connection in a fast-paced, entrepreneurial environment.

Job Responsibilities:
Provide critical and comprehensive support to the CEO and other Executives to ensure business goals and objectives are achieved in a timely and efficient manner.

Manage CEO & Executive calendars, scheduling, sending invites, etc.

Align CEO priorities with incoming requests to ensure top priorities are met first.

Frequent coordination and communication with investors and advisors Travel scheduling for CEO and Executives including flights, hotels, rental cars, etc.

Prepare and edit correspondence, communications, presentations and other documents Provide secondary cross functional support for other senior level executives Support all company meetings and communications including company wide messaging, emails, and meetings.

Making adjustment to meetings as needed and communicated to the team.

Organize companywide offsite meetings, events, etc.

Oversee all office related services including procuring office supplies, office food/beverage, office services, etc.

Manages guest visits to and from the office.

Organize board meetings/dinners as requested Schedules ad hoc meetings as needed Provides details on meeting attendance and communicates to department heads accordingly.

Will serve as a company cultural leader; recognizing team birthdays, new family additions, honors, awards, etc.

Owns team/employee handbook and organizing employee onboarding for the first few weeks.

Setting up new employees with materials, arranging their calendar, etc.

Helps with HR related task as needed, scheduling interviews, exit interviews, etc.

Assists with filing docs and legal agreements, making sure docs are named and organized correctly, helping to manage dropbox and other digital filings.

Required / Preferred Experience:
5-10 years’ experience as an Executive Assistant to CEOs or other C-Level leadership team.

Bachelor’s degree strongly preferred Experience in a CPG, start up and /or fast-growth entrepreneurial organization preferred.

Outstanding communication skills including verbal, written and presentation and must be able to effectively communicate to internal/external business partners at all levels Strong decision-making and problem-solving skills as well as adaptability, flexibility, and resourcefulness to support the CEO while also being willing to roll up sleeves and multi-task in a fast-paced, growing entrepreneurial environment Flexibility and adaptability to meet the changing needs of CEO and Executive Team Thrive in a hyper-growth organization and effectively manage tasks and projects with a high level of detail while executing within tight deadlines Organized, resourceful self-starter with strong ability to pivot with business needs and embrace and drive change to achieve results Anticipate leadership needs and creatively problem solve to achieve results Display a positive, calm, professional demeanor at all times; must be highly resilient to stress Maintain confidentiality of highly sensitive information at all times Build, lead, coach and inspire a team to drive results, communication and collaboration Foster collaborative relationships and strong teamwork across the organization Very Tech Savvy
– proficient in Microsoft Suite including Outlook, Excel, Word, PowerPoint as well as Google Suite including Gmail, google sheets/documents.
