WeAreADT Check out more about life at ADT here.Position Summary: The Executive Assistant primary function will be to provide administrative and general office support to the Vice President of Operations, with a team of over 300 employees in a demanding and dynamic environment requiring advanced skills and significant experience.The Executive Assistant must have the ability to manage multiple projects and priorities in a fast-paced environment and possess a professional telephone and interpersonal demeanor, as well as advanced written and communication skills.Duties and Responsibilities:Proactively solves moderately complex problems and interacts with other departments to resolve issues.Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data and graphics; gather data and create spreadsheets, presentations and reports on any aspect of operations.Assists in the planning and execution of meetings and events.Organizing and maintaining confidential records, files, documentation, etc.Open, sort, and distribute incoming mail as appropriate; assemble correspondence for mailing.Control office expenditures, process accounts payable, and prepare expense reports.Coordinate travel and major meeting schedules by:Coordinate All Hands meetings; preparing agendas for meetings; monitoring and/or following up on all action items until completed.Preparing all travel (book air, hotel, and ground transportation) and major meeting itineraries, and compiling all pertinent information for planned travel.Monitoring daily meeting schedule and providing pertinent material.Drafting letters and documents; collecting and analyzing information; coordinate internal team communications; create organizational charts.

Education/Certification:College degree required Experience: Minimum of five (5) years of administrative support to include at least three (3) years of supporting executives.

Skills: Advanced computer skills (Word, Excel, PowerPoint, Visio).Strong interpersonal skills with the ability to maintain confidential information.Highly organized, autonomous and detail oriented.General knowledge and understanding of corporate organizational structure, functional responsibilities, and general operations.
