We have the opportunity to add an administrative professional to our marketing & training team.

The Executive Assistant provides high-level administrative support by conducting research, preparing reports, handling sensitive and confidential information, and performing clerical functions such as preparing correspondence, facilitating and tracking financial transactions, arranging conference calls, scheduling meetings and appointments, and coordinates travel arrangements.

Also coordinates shipments and packages.

Duties Provide administrative support to the CMO and EVP of Innovation while communicating with every department of the organization as well as clients, partners, and other stakeholders Manage calendar, schedule appointments with staff and clients, make meal reservations, coordinate conference calls, and organize travel plans Is responsible for managing follow up; including recognition pieces, thank you notes ,and gifts from CMO and EVP of Innovation to agents, staff, affiliates, and all other relationships as needed, using the properties CRM for tracking purposes Conduct research, compile data, and prepare materials for presentations, affiliate and agent adoption, affiliate and agent participation, attendance, eTeam/lead programs, and other projects Perform general office duties, such as maintaining records, expense reports, and management of database systems Manage and reconcile certain company bank and credit card accounts and transactions Screen incoming calls and correspondence to determine their significance and respond independently when possible Manage client/agent complaints, and forward to appropriate parties as necessary Monitor CMO’s email, filtering out spam and acting on important requests and matters that require quick resolution Manage incoming and outgoing mail and messengered items Maintain relationship with external vendors, ensuring accounts, payments, and agreements are up-to-date and all involved parties are honoring contracts Keep organized system of electronic and hardcopy files of all contracts, documents, presentation, forms, etc.

Qualifications: College degree preferred 3-5 years of high-level administrative work or training experience Microsoft office suite experience
