Executive Assistant

The ideal candidate will provide top-level assistance for high level executives.

They should be well-organized and be comfortable scheduling meetings, drafting documents and helping with any administrative and operations support.

The Executive Assistant will be responsible for providing administrative support to the CEO and People and Operations Director.

CEO Administrative / Board / Development Support:
Manage CEO’s daily priorities, schedule meetings / confirmation, and calendar Board of Directors support: Meeting scheduling, preparation, assemble material packets, tracking of Board Engagement, and Board meeting minutes.

Development: Meeting preparation and information packets, donor thank you letters and cards tracking and processing, database maintenance, mailings, events and other meeting scheduling and follow-up Handle various follow-up tasks for conference calls and meetings including contact management in database for self and CEO

Operations Support:
Ensures welcoming environment, greeting guests when they arrive and notify appropriate staff members of guest arrivals Redirect general phone inquiries to appropriate departments and take down messages Check general voicemail / email / mail and forward messages to appropriate staff members Minor accounting duties
– Prepare CEO’s personal and business expense reports and assist with tracking, logging, and depositing of checks, cash, and credit card payments Coordinate meeting schedules, food arrangement, and any other setup and take down Accurately record minutes for various company meetings Oversee smooth office operations through tracking, inventory and replenishing of office supply orders and organizing and maintaining office common areas

Qualifications
Associate’s degree (AA) or bachelor’s degree preferred with 1-3 years’ experience OR High school or general education degree (GED) with 4-5 year’s professional experience 1-5 years’ relevant experience in administrative support and/or customer service experience Excellent organizational skills, ability to prioritize, and comfortable working independently Strong skills in Microsoft Office Suite, (Outlook, Word, Excel, PowerPoint) Experience with data entry using online database management system (Salesforce, NationBuilder preferred) Thrives on assisting people get prepared and organized Very strong interpersonal skills and the ability to build relationships with key stakeholders Collaborative, strong work ethic, detail-oriented, professional attitude, self-motivated, excellent with people, proactive and punctual Appreciates and enjoys promoting a friendly and efficient work environment Open to coaching and receiving feedback, and willing to give it!
