Events Coordinator

The role can be located in any of our offices and will primarily support end-to-end logistics of virtual client programs.The events team develops and coordinates firm-produced events, webinars and outside-sponsored events. As a part of the marketing team, the Client-Service Events Coordinator is a detail-oriented, tech-savvy event/project planner who will primarily support billable client events, facilitating logistics for small and large-scale virtual client meetings and webinars that are part of existing or prospective engagements. On some occasions, the position will also support the planning and execution of business development and marketing special events including virtual and live conferences, meetings, client receptions, webinars, and internal retreats across the country. The Client-Service Events Coordinator will report to the Senior Events Manager.​General Responsibilities:Provide end-to-end logistical and administrative support for small and large virtual, client-deliverable programs.Fulfill client deliverables by developing detailed project plans, supporting the entire event planning process from scheduling and invitation creation through production and post-event data delivery, working in-step with professionals and external stakeholders.Work closely with the events team, professionals and technology/branding to be a trusted resource and produce events that further the strategic goals of the firm, ensuring external and internal client satisfaction.Specific Responsibilities:Work with internal stakeholders to understand program/series goals, project plan, and build Zoom meetings and webinars with settings to accommodate business needs.Establish an excellent working relationship with internal and external clients, and continuously strive to improve the level of overall service; track billable time as needed per engagement.Determine, track and implement Zoom settings such as use of recurring vs. one-time meetings/webinars, registration form development, password protection, adding panelists, branding, recordings, breakout rooms, virtual backgrounds, Q&A, live captioning, accessibility, chat, raise hand for public comment, etc.; build Zoom polls and/or Survey Monkey surveys to gather data from clients/attendees as needed.Provide clients with an understanding of technical requirements to achieve desired goals and conduct training as needed.Coordinate with events team to manage Zoom program calendar and virtual platform scheduling, working in coordination with events and AV teams to ensure proper logistical support; prepare internal AV/Events team with custom opening script, final slides to share and advance, and any settings details.Author and send Outlook calendar meeting notices to stakeholders, panelists and AV with unique logins and instructions for signing on; track acceptances, answer questions and troubleshoot as needed.Monitor dedicated Outlook inboxes for program inquiries and inform necessary stakeholders.Conduct speaker prep sessions or join planning meetings as needed to train and orient stakeholders on Zoom settings and best practices.Oversee technical execution of programs/meetings; welcome and orient staff/speakers, assist and direct AV team according to program needs, launch polls, enable live captioning and recordings, spotlight speakers, monitor Q&A and chat for technical questions, advance slides if needed, trouble-shoot, and direct public comment sessions.Deliver post-meeting wrap up, editing and sending recordings, transcripts, chat logs, attendee lists, Q&A reports as needed. Format reports and attendee lists in various formats for optimal readability to ensure 100% accuracy for distribution to stakeholders.Follow industry trends and Zoom updates, and share learnings with events team.Maintain Salesforce database for client-deliverable programs, including inputting campaign (event) details, final attendee lists and concise event descriptions.​Qualifications:Bachelor’s degree or better from an accredited college/university with major coursework in communications, business management, marketing, technology or related field preferred.Extensive Zoom experience required. Salesforce, Pardot, Asana or event software experience preferred.3+ years in an event or tech coordination role and a demonstrated ability to multitask and work under pressure, juggle multiple projects, and prioritize competing needs.Interpersonal skills including the ability to foster collaboration and effectively communicate both in writing and verbally with clients and stakeholders.Demonstrated experience in coordinating/producing both virtual and in-person events using various tools/virtual meeting platforms.Must be highly organized and have a high energy level, exceptional attention to detail, excellent problem-solving skills, a results-focused approach and outstanding project management skills. Position requires constant attention to precise details while managing multiple projects simultaneously.Computer skills in Microsoft Office applications and proficiency in word processing, spreadsheets, databases and presentations.Able to work a flexible schedule as needed.Interest in the Health Care field highly preferred.Able to complete all duties with a superior quality and service focus through teamwork, dedication, and a results-oriented, solid work ethic.​​EEO/AA EMPLOYER/Veterans/Disabled
