Mack Real Estate Development LLC (MRED), a subsidiary of MREG, is a full-service real estate development business specialized in entitling, designing, and delivering institutional quality commercial real estate projects.
Summary MRED is currently seeking to hire a Development Project Administrator.
This individual will be responsible for the oversight of project master budgets, digital file maintenance, vendor commitments and project reporting.
The role serves as the primary point of contact for all project budget management and serves as a link between Development Managers and MREG accounting team.
Responsibilities also include supporting Development Managers in completing daily project tasks related to permitting, contracting, and meeting preparation.
Essential Functions Budget & Schedule Management Oversee all organizational and administrative management of each development project throughout its full duration.
Duration includes planning/budgeting, reports/surveys, design, entitlement/permitting, bidding/procurement, pre-construction, construction, inspections, close-out.
Oversee all aspects of budget administration including: Assist Development Managers (DM’s) in preparing master project budgets that accurately represent all anticipated Hard and Soft Costs Ensure all Hard and Soft cost commitments, including contracts, allowances, change orders, add-services, municipal fees and reimbursables are accounted for in the master project budget Ensure all submitted invoices are consistent with committed amounts.
Identify and quantify any inconsistencies and work directly with vendors to resolve Continually update master budget to ensure all committed and anticipated costs are accurately accounted for, and make recommendations for budget adjustments as needed through the course of the project Maintain and provide up to date master budget reporting as required by DM’s, MREG and investment partners Oversee and maintain project master schedules Assist DM’s in preparing master project schedules that cover all major project tasks and milestones Consistently update master schedule as needed during the course of the project.
Prepare project schedule summaries as needed by DM’s, MREG and investment partners Project File and Data Management Set up project file database and ensure all digital documents are properly stored Continually update and maintain database with new files through the entire course of a project Vendor Management Lead in the preparation of new contract RFP’s and the review and leveling of contractor and consultant quotations Lead in the preparation and issuance of contracts, Work Orders, and Change Orders for architects, engineers consultants, contractors and other vendors Coordinate the review and approval of work proposals, work with vendors to convert to standard contracts with all required backup exhibits Ensure new contracts are fully executed, properly entered into the master project budget and coordinated with the accounting team Instruct vendors on how to utilize MRED Pay Application format for invoice submission and payment tracking Manage and review contractor and consultant Pay Applications regarding accuracy of work reported as complete Ensure Contractors are complying with their contractual requirements including direct and subcontract lien waivers, insurance requirements and maintain the files Review invoices with DM’s and monitor compliance to contract requirements ensuring all conditions are satisfied before invoices are approved for payment Project Management Assistance Attend weekly and monthly project update meetings and take the lead in preparation of standard tracking documents for review Effectively and accurately communicate relevant project information to the DM, Principal and Clients Assist DM’s with daily tasks as required.
Ensure all assigned tasks are thoroughly completed Prepare and maintain project agendas, meeting minutes and notes to share with project team Assist in vendor contracting, scheduling, preparation and submission of Building Evaluation and Due Diligence reports Support DM’s in obtaining all project close-out documents including warranties, O&M manuals, as-built drawings, permit records, and others as required for each project Qualifications 3-5 years of experience in construction administration with Contractor or Developer/Owner Extremely proficient in Microsoft Excel including budget management and forecasting Strong proficiency and working knowledge of construction scheduling software such as MS Project Strong proficiency in Microsoft Word, Outlook and PowerPoint, and graphics software such as Bluebeam REVU Ability to learn, implement and continually improve budget tracking and overall software skills Excellent communication skills – both oral and written Ability to work productively in team environments and autonomously in order to maximize efficiency Highly organized and detail oriented Working knowledge in calendar and scheduling, document management, and control Required Education Bachelor’s degree required, preferably with a concentration in Business or Accounting.
