Cosm: Executive Assistant

This role will provide support to the CEO, COO and CTO in a busy, creative, and fast-paced environment.

The Executive Assistant serves as the primary point of contact for internal and external contacts on all matters pertaining to the C-suite.

The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple changing priorities.

Must be able to work under pressure at times to handle a wide variety of activities and must be able to handle confidential matters with discretion.Responsibilities:Complete a broad variety of administrative tasks including: managing extremely active calendars of appointments; completing expense reports; composing and preparingcorrespondence that is sometimes confidential; arranging travel plans,itineraries, and agendas.Plan and coordinate schedules.

Provide a ” Gatekeeper” role for direct access to their time and office.Communicate directly, and on behalf of the C-suite to executives, staff, and outside contacts.Research, prioritize, and follow up on incoming issues and concerns, including those of a sensitive or confidential nature.

Determine appropriate course of action, referral, or response.Oversee facilities management in the LA office, including but not limited to executing interior projects, maintaining office equipment inventory, liaising with building management & security, onboarding new hires and parking access, and handle all work maintenance orders.Work closely and effectively with the C-Suite team so that they are well informed of upcoming commitments and responsibilities, following up appropriately.

Provide detailed bios and backgrounds on upcoming and important priority meetings, so the team is prepared.Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.The PersonYou have a strong work tenure: minimum 5+ years’ experience as executive assistant, Entertainment and Media a plus; experience working at aglobal organization a plus.You are highly organized and enjoy problem solving.You have the ability to work in a fast-paced environment meeting deadlines and you can be adaptable to various competing demands.You have excellent communication skills both written and verbal.You thrive on delivering excellent customer service.You have strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.You are a team player with the ability to build relationships with all levels of employees, as well as outside contacts.You have proven ability to handle confidential information with discretion.You are highly proficient with all modern business and communication related software including the MS Office suite of business tools and virtual collaboration software.Cosm is a global technology company that builds end-to-end solutions for immersive experiences.
