Coordinator to the Prep Division

Windward School, a grade 7-12 college-preparatory, independent day school in vibrant West Los Angeles, seeks an administrative coordinator to join our Prep Division Team (grades 9 & 10).

The Coordinator to the Prep Division supports the division’s administrative team as well as its students and families.

Responsibilities include responding promptly to family and student questions by phone, email, or in person; scheduling meetings; attendance monitoring and tracking; preparation of logistics paperwork for field trips and retreats; using technological tools for data collection and dissemination; helping direct visitors on campus; supporting school wide events and activities such as Open Houses for Prospective Parents and Back to School Night as well as divisional meetings such as Monday Morning Meeting and Parent/Guardian meetings.

The ideal candidate will have excellent interpersonal, oral and written communication and organizational skills, a warm and welcoming personality, the ability to juggle multiple tasks at once, and the kindness, flexibility and sense of humor necessary to work successfully with 14-16 year old children.

Direct Report: Director of Infrastructure & Risk Management

Primary Responsibilities:
Support the administrative needs of the Director of the Prep Division and the overall Prep Administrative Team as directed.
Welcome and assist all visitors to the Prep Division Office, including students, faculty, staff, parents, and prospective families.
Assist with the management of the calendar of the Prep Division Director.
In collaboration with the Prep Administrative Team, gather and organize all necessary paperwork and release forms and assist with the organization for:
9th Grade Retreat and Orientation
10th Grade Retreat and Orientation
Other off-campus trips for the Prep Division
Coordinate all logistics for Prep Division events and meetings (i.e., calendars, invitations, RSVPs, event forms, food orders, name tags, mailings, meeting materials, etc.).
Represent the Prep Division at all Windward Events Team meetings.
Oversee the attendance for Prep Division students.

Reconcile all unexcused absences, communicating with Prep families as necessary.
Alert the Prep Team to students with excessive absences and/or tardies.
Manage sign-in for Prep students coming to school late and sign-out for students who are leaving school early.
Collaborate with the Prep Dean of Students to resolve attendance questions.
Collaborate with the Prep Division Team and other Divisions as necessary to coordinate the administration of standardized testing, surveys, and other measurement tools.
Manage all incoming calls for the Prep Division and serve as the first responder to questions.
Order and maintain office supplies, business cards, stationary, and other necessary items for the office through the appropriate channels.
Coordinate mailings as needed (USPS, FedEx, UPS).
Support the Director of Human Resources in scheduling for relevant hiring needs, including all hires being led by a member of the Prep Administrative Team.
Assist with coordinating travel arrangements (transportation and hotel accommodations) for trips as needed for retreats, Global Trips, student activities, etc.
Provide administrative support as requested for summer camp
Provide administrative support for events for new Prep Division students and parents between the time of their enrollment and the start of school, as well as events for students and parents making the transition from Middle School.
In collaboration with the Prep Division Dean of Students, gather and distribute bi-weekly reports to the parents of Prep students who receive these updates.
Provide administrative support for Prefect Elections, including organizing Prefect statements for distribution, creating ballots and securing logistics for Prefect Elections.
Team with the coordinators of the Prep Division and Collegiate Division to support the overall needs of the school.
Other duties as assigned by the Prep Division Director and Director of Infrastructure & Risk Management.
 

Qualifications:
Preferred – Bachelor’s degree or 2 years of direct experience in an independent school.
Excellent organization, time management, attention to detail and problem solving skills.
Ability to be self-directed, handle multiple tasks and priorities despite interruptions, solve problems and demonstrate leadership skills within a team environment.
Outstanding oral and written communication and interpersonal skills.
Accessible, approachable and welcoming while also managing confidential information and situations with discretion, respect, and sensitivity.
Proficiency in Microsoft Office and Google Office; willingness to learn new systems and techniques.
Proven ability to work as a positive, enthusiastic member of a team.
