ACCOUNTS PAYABLE SPECIALIST

ORGANIZATION SUMMARY:

POSITION SUMMARY:

The Accounting Operations team is responsible for ensuring that all financial transactions are entered into the financial system accurately and adhere to Generally Accepted Accounting Principles (GAAP). As a member of the accounts payable team, the Accounts Payable Specialist will play an integral role in supporting our accounts payable department and administrative office operations. This position will provide accounts payable transactional support, process and pay Accounts Payable (AP) invoices in accordance with our policies and internal controls, scan/file, and assist with any accounts payable issues. Qualified candidates must have a minimum of two years of experience in accounts payable. Other job-related duties may be assigned, as needed.

RESPONSIBILITIES:

GENERAL ACCOUNTING

  • Maintains a current knowledge of Generally Accepted Accounting Principles (GAAP) and financial practices.
  • Ensures financial transactions are recorded accurately in the Corps’ financial system to ensure adherence to GAAP compliance with internal accounting procedures.
  • Processes and prepares approved AP invoices for payment in a timely manner.
  • Maintains the AP expense and payroll backup support documentation process for grants and contracts reimbursement billing.
  • Prepares expense accrual support schedules for the month-end close.
  • Prepares and posts expense-related journal entries and uploads supporting documentation related to expense allocation transactions.
  • Assists with the preparation of 1099s at year end.
  • Supports the AP Manager with accurate coding of invoice and expense-related activities in the Corps’ expense management software, SAP Concur.
  • Tracks and reconciles balance sheet liability accounts and maintains support documentation for audit review.
  • Enters vendor updates, records manual check payments, and processes voided checks within the Corps’ ERP software, Sage Intacct.

INTERNAL CONTROLS

  • Reviews and understands the organization’s processes and procedures to ensure internal controls are maintained, and to protect the organization against fraud.

REQUIRED EDUCATION AND EXPERIENCE:

  • Associate’s degree in Accounting or Business Administration required; Bachelor’s degree in these areas preferred.
  • At least two (2) years of experience in accounts payable.
  • The ability to present ideas, information, and viewpoints clearly both verbally and in writing.

SKILLS/REQUIREMENTS:

  • Understanding of GAAP accounting principles.
  • Familiarity with SAP Concur and Sage Intacct, or similar ERP accounting software suite.
  • Strong knowledge of Microsoft Excel and Microsoft Outlook.
  • Strong written and verbal communication skills.
  • Excellent attention to detail and accuracy in entering financial data.
  • Excellent organizational and time management skills.
  • Ability to meet deadlines and deliver results.

Salary Range for Accounts Payable Specialist: $55,000 – $65,000 annually (based on experience)
