A Place Called Home has a great opportunity for a passionate and dedicated Scholarship Administration Coordinator to utilize their skills and implement creative ways to support the mission and vision of the organization while making a difference for the youth participating in our programs.

ABOUT USA Place Called Home is a dynamic, non-profit youth and community center in South Central Los Angeles.

APCH provides educational programs, counseling, mentoring, music, dance and art classes, fitness and health and wellness opportunities.

As youth participate in our programs, they discover interests and talents and develop a better sense of themselves and their place in the world around them.

Our goal is to increase the likelihood that youth will stay in school, pursue higher education, attain viable jobs, and become active community members capable of making positive change in the world in which they live.

Our mission is to serve youth and families directly and the optimal way to do that is in person.

The majority of our positions require employees to work onsite at our facilities.

We will always comply with or exceed government and public health safety mandates.

Our priorities and policies to protect the safety and health of our staff and members may require special protocols on our campus and/or may require us to work remotely on a temporary basis.

The ideal candidate has an aptitude for numbers and spreadsheets, demonstrates strong organizational skills and has a flair for spotting errors and maintaining accurate, updated records.

Under the direction of the Associate Director of Teen & Young Adult Services (AD TYAS), the Higher Education Finance Coordinator ensures scholars of the APCH Shaheen Scholarship Program receive their funds in a timely manner.

They are responsible for coordinating the setting of allocations, administering checks, maintaining accurate records, and working alongside APCH members to develop plans to fund their education.

This person works collaboratively within the Higher Education team to stay updated of scholar needs, eligibility, and to problem solve if any issues arise, and works with the Accounting and Development teams on alignment.

The Higher Education Finance Coordinator is a key resource of the APCH Shaheen Scholarship Program and provides scholars with important information related to FAFSA, the APCH Shaheen Scholarship, and additional scholarship opportunities, while ensuring accuracy within the program budget.

Essential duties and responsibilities:Scholarship AllocationsConduct financial intake meetings with incoming scholars to determine financial need.Collect and organize required financial information from all eligible scholars and traineesCollaborate with Associate Director to set and track scholarship annual awards for scholarsWith support from Associate Director, maintain the allocations database to log check requests, expenditures, and scholar informationAssign grants to scholar awards to ensure all funds are allocated appropriatelySynthetize scholars’ financial information to support financial projections and analysis of the scholarship programDraft and send all award notifications to scholars Scholarship Check DisbursementsAdminister scholarship check requests with accurate check request cover sheetCollaborate with Higher Education team to confirm funding eligibility of scholarsCollaborate with APCH Accounting team to add scholars to the vendor database, ensure all information is accurate, and to enroll scholars into the ACH payment portalCommunicate with university/college financial aid office to resolve any discrepancies and/or provide information for the scholars regarding their scholarship award Monitor Scholarship ExpendituresWork in collaboration with AD TYAS, APCH’s Accounting department, and Development department to prepare, track, and reconcile scholarship program budget on a quarterly basisProvide reports on grant balances and expenditures as neededResponsible for updating the scholarship expense tracker to accurately reflect outflowMonitor and follow up on uncashed/undeposited checks Scholar & Trainee SupportSchedule and lead and/or support financial aid workshops for scholarsResearch and share additional outside scholarship opportunities for scholarsProvide guidance when responding to questions related to financial aid, financial planning, and scholarship awardsHost workshops for parents to understand the financial and scholarship program processesMeet with high school members to discuss questions related to financial aid and funding higher education Teen & Young Adult ServicesSupport TYAS Department events, activities, and initiatives as directedCollaborate with the IMPACT team to provide support for Opportunity YouthProvide monthly metrics to AD related to the scholarship programSupport with Programs initiatives, such as Member Touchpoints and Kick Off Events Other Non-Essential ResponsibilitiesAssist with the supervision of members during program hours, special events and field tripsSupport all agency events, such as Thanksgiving and Home for the HolidaysServe as a mentor and role model for membersAttend all required program meetings and eventsPerform other tasks as assignedThe ideal Higher Education Finance Coordinator will be an individual who carries high personal and professional standards, can develop positive working relationships with teen and young adult members, approaches tasks with an attentive, meticulous eye, and can organize complex projects into manageable portions.
