Aircraft Maintenance Office Administrator

The Maintenance Administrator (MA) serves as an important role in ensuring the daily administrative requirements for the FAA designated repair station are completed and that customers receive the best experience possible throughout their maintenance service project.Position Summary:The Maintenance Administrator (MA) is a central position within the Maintenance Department serving among our customers, maintenance technicians, and department leadership to support the day-to-day administrative functions necessary for the aircraft repair station operations.

The MA performs a number of both clerical and administrative duties under the direction of the Director of Maintenance.

The MA is directly involved in communicating with aircraft owners, corporate flight departments, flight crews, vendors, and team members to ensure that all aircraft maintenance service requests and associated paperwork are handled appropriately from beginning to end.

The MA is highly outgoing and engaging in helping to provide an exceptional customer service experience.Direct Reports:NonePrimary Responsibilities:Represent the department and company in a professional manner while upholding the values of a family-owned legacy aviation business.Support a positive and harmonious working environment with the team in order to provide the highest levels of the customer service experience.Build memorable service experiences for each customer of the repair station.Serve as a frontline member of the maintenance team greeting customers, scheduling service requests, answering or making phone calls, and communicating through email.Open, update, and process Word Orders throughout the life cycle of the maintenance service event and proofread to ensure accuracy prior to distribution to customers.Review open Work Orders and assist with research of Work Order historical information.Prepare and maintain Work Order hard copy files as required by the Hill Aircraft record retention policy.Enter data from source documents necessary to complete reports, invoicing, or Work Orders.Coordinate parts billing with the Parts Department.Prepare and communicate maintenance service or inspection quotes for approval.Submit warranty or aftermarket parts claims to applicable OEM service programs.Create and distribute preliminary and final invoices for work performed.Verify accuracy of labor hours, parts costs, or service charges both internally and on customers invoices making corrections as necessary.Process service and point of sale transactions including billing and payments.File internal records related to service transactions accurately and efficiently.Run routine reports daily, monthly, or as requested.Review customer accounts for recording of payments.Provide updates on the status of maintenance service events as requested both internally and with customers.Assist in maintaining the daily shop work schedule and Work Order logs.

Work with agents and local approved vendors when handling customer requests.Assist in maintaining the organization and cleanliness of the office area, work area, and customer lobby.Perform other duties as assigned.General Qualifications | Knowledge & Experience:Minimum of (5) years preferred FBO or other related experience within the general aviation industry around corporate aircraft.Minimum of (1) year within the field of aircraft maintenance or a repair station operation.Minimum of (1) year related administrative experience in an office setting or detail-oriented manufacturing environment.High school diploma or GED certificate.Special consideration with prior experience in Total FBO software.Basic knowledge of aviation terminology, general aviation aircraft (piston and turbine), airport communications, and phonetic alphabet.Proficient in Microsoft Office applications including Word and Excel.Familiarity with maintenance tracking programs (i.e.

– CAMP).General Qualifications | Skills & Competencies:Naturally outgoing with a passion for providing an outstanding customer service experience.Excellent communication abilities (written, typing, phone etiquette, and oral) in English.Strong interpersonal aptitude and ability to work well on a team.Consistently demonstrated organizational and time management skills.Detail oriented.Tactful, courteous, and conscience of customer’s needs.Ability to perform manual tasks, follow directions (written and oral), and multitask in a safe and efficient manner.Ability to comprehend and perform basic math calculations with minimal errors using United States units of money, weight measurement, volume, and distance.Strong knowledge and comfort level when using computers.Good problem-solving abilities for operational decisions and adaptability to various working environments or conditions.Ability to work independently and execute projects on time with limited supervision.Additional Requirements:Must possess a valid driver’s license (21 and older) without restrictions and have acceptable driving record that meets company insurability requirements.This is an hourly, nonexempt position.

This position may require on occasion working flexible hours including mornings, afternoons, and weekends, or on scheduled company holidays to accommodate the needs of the customers and department maintenance operations.Must be able to pass a background check and drug screen.
