AR Clerk

POSITION PURPOSE

Responsible for the processing, recording, and dispensing of payments for all Club liabilities incurred. Other Accounts Receivable responsibilities.

ESSENTIAL FUNCTIONS:

Match all invoices with purchases orders, receiving documents, packing slips, etc., ensuring that all bills represent authorized, legitimate purchases.

Check all Food & Beverage invoices against the Food & Beverage receiving report. Verify additions and extensions on all invoices.

Properly code and record expenses to the correct cost center/general ledger account and obtain appropriate department head approvals.

Enter all invoices/vouchers into the computer for payment processing in a timely manner with special attention to vendors offering cash discounts.

Responsible for all Club disbursements in check form and the protection of unused checks.

Reconcile vendor statements on a weekly basis and handle vendor and internal inquiries.

Ensure A/P trade and A/P check writing are in balance at the month?s end.

Prepare monthly A/P accruals and provide copies of balance sheet invoices to Assistant Controller.

Maintain up-to-date contact files.

1099/1096 Tax reporting including all new vendor requirements of W-9?s.

Maintains historical records and filing documents.

Reports sales taxes by calculating requirements on paid invoices.

Protects organization?s value by keeping information confidential.

Run envelope/label requests.

Prepare checks & batch for posting.

Mailing & maintaining Private party function forms.

Assist Accounts Receivable with miscellaneous job functions.

Responsible for labeling and sending Daily work boxes to storage.

Disposal of destruction dated material.

Keep Storage Rooms clean and organized.

Coordinate recycling bin pickup with Janitor Manager.

Other:

Regular attendance in conformance with the standards, which may be established from time to time, is essential to the successful performance of this position. Employees with irregular attendance will be subject to disciplinary action, up to and including termination of employment.

Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the Club. In addition, attendance at all scheduled training sessions and meetings is required.

Upon employment, all employees are required to fully comply with the California Club rules and regulations for the safe and effective operation of the Club?s facilities. Employees who violate Club rules and regulations will be subject to disciplinary action, up to and including termination of employment

SUPPORTIVE FUNCTIONS

In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the manager based upon the particular requirements of the Club.

·Assist with Accounting Office issues as needed, i.e., billing inquiries, administrative duties, etc.

· Support Purchasing for vendor relations (C.O.D. deliveries).

· Support Receiving Department as a reference or contact for internal/external issues.

. Verify deliveries and their recipients.

· Make decisions concerning purchase orders when documentation of approval is unavailable.

· Additional duties as necessary and assigned.
SPECIFIC JOB KNOWLEDGE, SKILLS AND ABILITIES

· Must be able to speak, read, write and understand the primary language(s) used in the workplace.

· Must be able to read and write to facilitate the communication process.

Requires good communication skills, both verbal and written.

· Must possess basic computational ability.

· Thorough knowledge of computer processing system and ability to manually perform these operations if necessary.

· Ability to prepare and analyze data figures and transcriptions prepared on and generated by computer.
Physical Demands
· Most work tasks are performed indoors. Temperature is moderate and controlled by the california club environmental systems.

· Must be able to sit at a desk for up to 8 hours per day. Walking and standing are occasionally required.

· Must be able to exert well-paced ability to reach other departments of the the california club on a timely basis.

· Must be able to lift up to 15 lbs. occasionally.

· Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening and hearing ability and visual acuity.

· Talking and hearing occur continuously in the process of communicating with guests, supervisors and subordinates.

Vision occurs continuously with the most common visual functions being those of near vision and depth perception.

· Ability to work primarily with fingers to pick, pinch, type and carry out substantial movements (motions) of the wrists and hands as well.

· Requires manual dexterity to use and operate all necessary equipment.

· Must have finger dexterity to be able to operate office equipment such as computers, printers, 10-key adding machine, electric typewriter, multi-line touch tone phone, filing cabinets, FAX machines, photocopiers, dolly and other office equipment as needed.

QUALIFICATION
Education
High school or equivalent education required. Bachelor?s Degree preferred.

Experience
At least 1-2 years Accounts Payable experience.
