Database Operations Manager

Schedule: Monday – Friday (8:00am – 4:30pm)Benefits: Medical, Vision, Dental, Life Insurance, 403(b) Retirement plan, Eligibility for Federal Student Loan ForgivenessSUMMARYAs a core member of the Development Team, the Database & Operations Manager will utilize a data-driven approach to help the Development team build and execute strategies for the identification, cultivation, solicitation, stewardship, and growth of donors. The position will oversee gift administration, prospect management, reporting and analytics, and other essential functions that will ensure the team’s efficiency and the success of fundraising initiatives.ESSENTIAL DUTIES & RESPONSIBILITIES* Responsible for day-to-day database management, gift processing, building and optimizing workflows for Development colleagues, tracking pipeline progress, and producing reports.* Global oversight of the entire database system and fundraising portfolios in concert with individual fundraisers; work directly with Relationships, Annual Fund and Corporate & Community Relationships colleagues to manage prospects and donors in database.* Makes data-based recommendations to Development colleagues to help achieve metrics and fundraising goals of all fundraisers.* Manage and segment prospect and donor data for appeals, e-mail campaigns, events, and special projects; produces database reports and queries to track campaigns and appeals status and success.* Manages daily gift processing, including cash, checks, credit card charges, donations of stocks and securities, electronic transfers, pledges, matching contributions, memorial and tribute gifts, and in-kind donations* Maintains integrity of Raiser’s Edge database through regular audits, data clean-ups, address updates, and duplicate record identification* Runs queries, exports, and reports to support fundraising efforts and assess performance* Supports Development team with data-driven insights, prospect research, moves management, and strategic planning, including maintenance of current and accurate portfolio and pipeline information in our database.* Perform on-going evaluation of donors and generates a comprehensive plan for the coming quarter, fiscal year, etc. Tracks annual giving donor trends, focusing on donor retention, pipeline movement and building the donor base.* Implements standard database policies and procedures and conducts training for staff* Liaises with Finance Department to audit and reconcile financial records and keep track of pledges and payment schedules* Oversee and conduct research on prospective donors and produces donor profiles for staff and Board solicitors for individual donations.* In concert with activities of other individual philanthropy staff, supports Board and CEO fundraising efforts.* Assist with and advise on best practices for data entry, specifically for the tracking of actions and information for Development colleagues, Board members, and CEO.* Keep informed of developments in the fields of philanthropy, fundraising, nonprofit management and governance, as well as homelessness, mental health, housing and domestic violence services and use this information to help the agency operate with initiative and innovation within the external affairs and communications functionQUALIFICATIONS* Bachelor’s degree preferred, or equivalent experience* Minimum 4 years of experience with moves management and pipeline management required.* Strong analytical skills and quantitative skills and the ability to translate complex data and information into actionable insights required.* Familiarity with skills and tactics of cultivation, solicitation and stewardship of individual donors, foundations and corporations.* Valid CA Driver’s license, reliable car, auto insurance, and an acceptable driving record* Highly organized, detail-oriented, efficient and background managing projects.* Interest in the social services field and passion for ending homelessness* A passion for data and building systems that optimize team efficiency and effectiveness to maximize philanthropic giving.Preferred Qualifications* Familiarity with prospect research resources, or iWave* Database migration experience* Knowledge of and experience with Raiser’s Edge or comparable fundraising CRM strongly* Working knowledge of IRS guidelines and accounting principlesEnvironment and ResponsibilitiesWork Environment* Combination of field and office environment* Travel between agency locations, and external locations, up to 25%.* Regularly required to sit, stand, bend;
