Known looking for a detail-oriented and organized Resource Manager to lead the resource management function across departments, with a specific emphasis on Creative, Brand and Project Management talent.
The Resource Manager will efficiently plan and prioritize all project needs, schedule available resources and identify/secure freelance resources as needed to meet business goals.
The ideal candidate is driven and able to make decisions and solve problems in a dynamic, fast-paced environment.
The Resource Manager position requires a thorough understanding of organizational design, staffing and financial resources to complete concurrent projects efficiently and effectively.
They will develop and enhance resource management processes, as well as continually build and manage freelancer databases networks to ensure timely staffing of projects across the Consumer Brands division.
This position can be based in either NYC or LA.
Essential Duties and Responsibilities
Manage weekly check-ins with all team members to determine actual allocations and workloads.
Meet weekly with Creative, Brand, Project Management department heads to allocate internal personnel resources across projects.
Lead freelance outreach and onboarding, in close partnership with Recruitment and Director, Project Management.
Act as internal lead in communicating the status of freelance resourcing efforts and maintain accountability for securing and onboarding freelance talent on time and on budget.
Facilitate freelancer onboarding process, including TEAM setup, email introductions, scheduling project team kick off meetings, etc.
Tracks all freelancer engagements.
Manages booking dates, mediates conflicts, negotiates extensions and communications any changes to the engagement terms.
Track hours and internal/freelance team inputs into time tracking system.
Organize freelance talent paperwork and approve weekly freelance invoices.
Maintain a list of new and upcoming staffing needs across Creative, Brand and Project Management.
Organize and upkeep weekly status in preparation for weekly resourcing meetings.
Lead and support with other resourcing and project management planning and assignments as needed.
Work with Brand lead and Director, Project Management to maintain agency staffing/project forecast document to identify needs in advance.
Manages and feeds into client burn reports, presenting insights/findings back to Brand leads.
Qualifications
Knowledge of process around delivering best in class campaigns for industry leading companies (including AV, Digital, Social, Print, OOH, Live Action and Experiential).
Proven ability to manage internal resources and secure incremental resources on time and on budget.
Strong multi-tasker, able to juggle multiple campaigns at once all while tracking milestones, resource performance and account needs.
Ability to navigate ambiguous situations and proactively identify issues/obstacles and effectively create solutions.
Proficient in Microsoft Office Suite, Google Suite, and Mac OS programs.
Strong proficiency in Excel/Numbers/Google Sheets.
Meticulous attention to detail and organizational skills.
Ability to be flexible and highly adaptive in a fast-paced environment.
Excellent verbal and written interpersonal skills and the ability to communicate clearly and effectively.
Education/Experience
5-7 years of project management or resource management experience, ideally in a fast-paced agency environment.
A Bachelor’s Degree in program management, business, marketing, or similar field.
