Payroll Specialist

We have an immediate opening for an experienced Payroll Specialist for a prestigious law firm in the downtown Los angles. The Payroll Specialist is responsible for the data entry/processing of the biweekly payroll for 250+ partners and employees, identifying payroll discrepancies, maintaining the firm’s HRIS, preparing and maintaining payroll and miscellaneous reports, and responding to payroll-related questions and inquiries. The Payroll Specialist will also collaborate with the benefit team to ensure the accurate and timely processing of benefit transactions. The position is part of the Human Resources department, and has dual reporting to the Human Resources Director and Finance Director. The position will regularly collaborate with members of the HR and Finance teams to support other departmental initiatives.

Key Responsibilities

  • Perform all activities necessary to process and reconcile regular biweekly payroll and other ad hoc special payroll runs (bonus, adjustment, final pay runs, etc.) for exempt and non-exempt (W-2) employees and equity partners (K-1).
  • 401(k) processing, reporting and data distribution.
  • Coordinate with accounts payable when wire transfers are needed for various contributions (HSA, PAC, etc.).
  • Support year-end tax reporting efforts including approval and distribution of W-2’s and compilation of data for K-1 production.
  • Maintain payroll and benefit deduction schedules and process voluntary and involuntary deductions for fringe benefits, garnishments, etc.
  • Collaborate with benefits team to determine accurate benefit deductions, process benefit related transactions and maintain appropriate records.
  • Manage the entry of employee data into the Firm’s HRIS (ADP WFN) ensuring accurate records are maintained. Process changes to employee records (changes in pay, promotions,transfers, etc.) as requested.
  • Act as a liaison with third party retirement administrator, monitor data exchange file feeds between HRIS and retirement administrator, and support annual plan audits and testing.
  • Utilize appropriate systems and processes to validate payroll and balance postings to general ledger.
  • Review and audit master file and pay data entries, YTD totals, and file amendments.
  • Prepare and distribute various routine payroll and management reports and develop other ad hoc and compliance reports (EEO/AA, ACA, etc.) as requested.
  • Respond to employee inquiries and requests regarding payroll matters and process income and employment verifications.
  • Support other HR and/or Finance department initiatives as needed.

Experience & Qualifications

  • A minimum of five (5)years of relevant experience processing payroll in an organization with at least 250 employees and working knowledge of K-1 reporting. Law firm or other professional services firm highly preferred.
  • Associate’s degree with emphasis in accounting or similar subject; a Bachelor’s degree is preferred. An equivalent combination of education and relevant experience may be used to satisfy the degree requirement.
  • Advanced working knowledge of ADP Workforce Now; ADP WFN certification is a plus.
  • Intermediate working knowledge of Excel including the use of mail merges, complex formulas and pivot tables.
