Planned Parenthood Los Angeles is seeking an experienced Human Resources Specialist with excellent communication and customer service skills to work in our Downtown Los Angeles Headquarters. Under the general supervision of the HR Manager, the HR Specialist provides support to the HR leadership team in the administrative areas of the Human Resources Department. Help coordinate leave requests and accommodations requiring specialized attention, particularly those arising under the Family and Medical Leave Act (FMLA), CA Family Rights Act (CFRA), the Americans with Disabilities Act (ADA), state and local leave laws, and short-term disability plans. Also helps facilitate the new hire and onboarding process and provides support to the HR Department and management while providing excellent internal customer service.

Our Ideal Candidate will have the following qualifications:
- Bachelors Degree or equivalent work experience required
- Prior experience coordinating and monitoring leave of absences and accommodation requests under applicable federal, state, and local laws via a third party administrator or otherwise
- Knowledge of and ability to use means to monitor and track processes as a part of coordinated process improvement efforts
- At least two (2) years work experience in an administrative environment required
- Knowledge of and familiarity with commonly-used Human Resources concepts, practices, and procedures according to applicable federal and state labor laws
- Ability to effectively manage projects while balancing priorities
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook & PowerPoint), as well as ability to utilize internet resources
- Strong organizational skills and attention to detail
- Demonstrated integrity and ability to collaborate with team members
- Ability to work flexible hours, including evenings, as needed
- Ability and willingness to travel within Los Angeles County
About the position:
- Communicate with employees regarding their needs for leave of absence and/or modified work schedules. Ensure that employees are aware of their responsibilities and of any documentation requirements
- Serve as liaison for our employees with our third-party leave administrator and internal Leave Administrator
- Maintain communication with employees on leave as needed to facilitate smooth and timely return to work
- Serve as a point of contact for managers and employees on the interaction of leave laws with paid time off, workers compensation, and short-term disability benefits
- Facilitate the return-to-work process for employees returning from extended FMLA, workers compensation, or other leave(s)
- Lead and engage employees as needed through interactive process discussions to ensure compliance under state, federal, and local requirements
- Coordinate other company time-off programs as assigned in accordance with internal policy and applicable laws
- Maintain complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices
- Coordinate and track required annual updates to employee health files, including annual Tb screenings and required certifications in accordance with specified legal requirements and documentation of best practices. Follows up as needed to ensure timely completion
- Preserve confidentiality of employee medical documentation and files
- Maintain working knowledge of all applicable leave and accommodation laws including the FMLA, ADA, and state and local laws
- Document and track workers compensation claims, accommodation requests, and return to work process
- Assist with providing leave of absence and accommodation training sessions for the management team
- Provide first line response to common employee questions on PPLA HR processes and benefit offerings
- Maintain employee health and benefit related files for current and former employees in accordance with regulatory requirements, ensure timely and accurate filing of all personnel-related forms & documentation
- Assist with input and maintenance of accurate and current employee data in electronic record-keeping and report system including updated employee health information (HRIS)
- Assist with the onboarding process as needed, including collating pre-employment documentation for inclusion in the appropriate new employee files
- Order and distribute human resources collateral materials (e.g. EDD brochures, recruitment items, Open Enrollment materials, benefit brochures, etc.)
- Assist with the execution of PPLA staff recognition programs, including employee awards, employee recognition events, anniversary gift cards, etc.
- Provide administrative support to the Manager, Human Resources and Senior Manager of Benefits and Special Projects including calendar management, communications, meeting logistics & coordination, travel arrangements, and expenses
- Participate in agency-wide efforts to serve the mission of Planned Parenthood Los Angeles and the community, as well as continuous efforts to maintain a positive work environment characterized by respect, credibility, fairness, camaraderie and pride
- Serve as back-up for new employee onboarding process, including presentation facilitation, distribution and collection of new hire paperwork
- Serve as back-up to front desk/receptionist for headquarters
