Medical Sales Specialist

PURPOSE:

The purpose of the Treatment Coordinator positions is to keep the office viable by efficiently collecting the maximum amount for services rendered.

Objectives:
To participate fully and focus positive energy on activities that promotes the practice health by fulfilling assigned duties.
To stimulate and promote patient participation.
To provide liaison services to new patients entering the practice and enhance case acceptance for all services.
To foster referrals and enhance new patient flow through daily activities and
Participate in a huddle each morning, with a review at the end of each day.
Maintain 100%-time utilization in the doctor’s schedule.

Ensure that the patients are scheduled according to the office guidelines.
Work to ensure no patient leaves the practice without a follow-up
Attain 80% case acceptance of all cases presented, with follow-up on the remainder when possible.
Grow the patient base by 80% of new patient flow through appropriate follow
– up and patient rapport.
Retain existing patients and encourage participation of new patients to attract
new patients per month.
Review charts to identify specific concerns, case management potential, and referral opportunities.

Identify patients who need exams or radiographs.
Update patient-specific information to ensure database is up to date and
Assist with patient processing and general duties when necessary to avoid delays and patient concerns.
Ensure the patient is comfortably seated with Water or Coffee.
Provide chair side assistance to the dentist during procedures & diagnosis
Check each patient out by entering all procedures and scheduling the next appropriate appointment.
Perform follow-up procedures for patients who may need it.
Present the patient with a practice information packet (treatment plan packet/new patient packet).
Call new patients to follow up with them and their experience to the office.

Answer questions they may have since leaving the office.

Ensure all telephone communication is courteous and reflective of the practice image.
Call the referral source of all new patients the day you schedule the exam
Follow up with patients who had extensive care during their visit at the end of day.

Follow up 72 hours later with a post-operative call and invite them to be a new patient with a comprehensive exam and X-rays.
Manage all new patient data.

Telephone calls, enter data into the computer, prepare the new chart, and send a welcome letter to the new patient and a thank you note to the referral source.
Enact follow-up procedures for patients who need specialist referrals for
Follow-up on patients referred to specialists, along with x-rays who do not keep or schedule an appointment with the referring doctor.
Assists the doctor in review of case management planning.

Conduct through a monthly review meeting with doctor regarding closed and open cases.
Sets-up consultations between the doctor and patients.
Present cases to patients using verbal skills that promote value and investment.
Ensure patient dental photographs are taken prior to starting work.
Ensure photographs of completed cases are taken.
Enter treatment plans into the computer whenever necessary.
Educate patients that promote treatment value and investment.
Ensure each patient’s next appointment is scheduled appropriately, to include hygiene.

Place patient names on a pending page with specific notes for follow up if
Follow up on the pending page (ticker file) daily to determine which patients need to be contacted.

Review the patient notes and contact patients accordingly.
Provide an office tour, health history interview; smile evaluation and intra-oral camera tour.
Encourage patients to watch a treatment specific video to enhance case
Captures images with the Intra-Oral Camera.
Present the welcome kit to the patient at the end of the appointment.
Conduct a smile evaluation survey
Prepare and participate in daily, weekly, and monthly meetings.
Review all restorative patients to identify necessary follow-up activities, case management opportunities, marketing activities, communication management etc.

Identify patients who should have updated charts and new documentation.

To be reviewed in monthly meetings as well.
Reconcile each patient in the schedule at the end of the day and identify
Assist with patient processing, schedule crisis management and general duties when necessary to avoid delays and patient concerns.
Transfer radiographs or records to other doctors, and request the same when
Develop an inventory control program to ensure you have sufficient, but not an oversupply, of goods.

To be done in partnership with Lead Dental Assistant.
Records inactivated patients, and review these with the team during team meetings.

Change appropriate information in the software to allow for concise patient base calculation.
Check doctor’s patient out by entering charges, taking the payment, scheduling
Present the patient with the information packet to include the description of the office, the doctor’s profile, and procedure-specific explanation.
Ensure each patient’s next appointment is scheduled appropriately, to include
Assist with patient processing, schedule crisis management and general duties when necessary to avoid delays and patient concerns.
Complete office trackers daily and calculate monthly.
Maintain referral tracking – number of referrals and treatment value by provider for gifts.

Gifts should cost six times less procedure cost.
Ensure all referring charts are cross-referenced with the name of each new
Present patient with a marketing gift when appropriate.
Mail or present a practice brochure to all new patients.
Coordinate all out of office appointments directed by the marketing coordinator (makeover, portrait).
At times you will be required to fulfill the responsibilities of Dental Assistant.

Primarily, this will include chairside assisting, making and/or re
– cement temporaries, seating patients, sterilizing instruments and treatment rooms, taking x-rays and appropriate impressions.
Follow practice guidelines regarding set-up and breakdown of treatment rooms.

Requirements

QUALIFICATIONS

Education: No formal education is required.

However, applicable continuing education courses pertaining to the industry are desired; six months to one-year related experience and/or training; or equivalent combination of education and experience.

Bilingual
