Medical Records Coordinator

Quick Facts:

The Health Information Management Coordinator handles dual functions at Eisner Health. This person initiates Medical charts and works closely with different departments and providers. Duties include pulling, delivering, and refilling of medical records, filing loose reports and assembling manual and electronic health records.

This position requires the full understanding and active participation in fulfilling the mission of Eisner Health. It is expected that the employee demonstrate behavior consistent with the core values of Eisner Health. The employee shall support Eisner Health’s strategic plan and goals and direction of the performance improvement plan. The employee will also be expected to support all organizational expectations including, but not limited to; Customer Service, Patient’s Rights, Confidentiality of Information, Environment of Care and Eisner Health initiatives.

Duties include:

1. Delivery, filing and storage of Medical Record.

  • Logs and pulls and delivers charts as requested and per daily schedule to appropriate department.
  • Pulls charts for the next day appointments in the different departments.
  • Files charts returned from the different departments.
  • Pulls charts in preparation for medical audits or inspection by outside agencies.
  • Assists in purging, storage and organizes of Medical Records.
  • Files Red Jackets daily. Combine the red jacket with charts when filing charts back or when chart is found.
  • Use the prescribed process to locate missing charts.

2. Files reports and results in Medical charts daily.

  • Must scan documents into individual folders on a daily basis.
  • Must log in to Electronic Health Record system daily.
  • Files loose reports and results in correct section of the charts.
  • Provides the physician with copy of the reports as needed or requested.
  • Check physician’s signatures on all reports and results prior to filing.

3. Maintains quality control of the medical records.

  • Maintains audits charts and lab files for misfiles and missing files.
  • Checks for physician signatures on reports, results and correspondence.

4. Performs clerical duties and special assignments as directed by her supervisor

  • Answers phones
  • Replace torn charts
  • Prepares new charts and have them ready for use as new patients join Eisner Health.
  • Mail out request for records when presented with properly competed medical release. Make sure when copy outside records come in that they are file in the correct section of the charts.

5. Communication

  • Maintains collaborative relationship with other departments and co-workers to provide quality health care service.
  • Exhibits a courteous and professional manner.
  • Demonstrates excellent communication skills, both oral and written; and ability to read and write English.
  • Handles miscellaneous assignments as directed by her supervisor or the Chief Operating Officer.

Requirements and Qualifications:

  • Must possess a high school graduate or equivalent.
  • At least one year experience or training in keeping Medical Records.
  • Familiar with community health center setting.
  • Understanding of general office and manual and electronic chart filing.
  • Must be computer literate.
  • Must be flexible with his /her hours.
  • Must have electronic medical records experience.
