The Director, Clinic Implementation has the primary responsibility for developing and implementing Intercare’s clinic site operational guides including establishing key performance indicators. The Director, Clinic Implementation will build onsite clinical operational teams to oversee daily operations including scheduling, referral management and general operational efficiencies. The Director, Clinic Implementation reports to the Vice President, Operations.

Primary Responsibilities

  • Research and collaborate across department lines to identify optimal, high-impact opportunities to open clinics
  • Serve as project manager overseeing operational clinic set up working with brokers, contractors and various vendors ensuring adherence to funding source compliance and operational requirements
  • Develop clear, concise, and compliant SOPs (Standard Operating Procedures) for clinic-based services
  • Manage onsite clinical team real-time direct treatment operational issues, which may include making modifications to the physical space, procuring appropriate equipment and materials, optimizing room assignments, and addressing staff and patient cancellations
  • Conduct funding source outreach and referral management to increase site capacity and general business development
  • Oversee strategic initiatives for clinic sites to increase prescription fulfillment and decrease client session cancellations
  • Partner with key stakeholders across the organization to ensure outstanding experiences at clinic sites for team members, parents, and patients alike
  • Work closely with leads from the Talent team to identify clinic-specific job descriptions, roles, hires, etc.
  • Partner with Training department to integrate shadow sessions, training and professional development opportunities within a clinic setting
  • Manage the clinic onsite team productivity/daily operational scheduling needs, documentation efficiency, capacity utilization, waitlist management, hiring needs, and overall clinical quality and outcomes, in collaboration with the Senior Vice President of Clinical Operations
  • Meet with onsite supervisors regularly to review scheduled hours and ensure optimization of all supervision and parent training hours.
  • Track data and prepare management reports (reports include but are not limited to potential client list, contract fulfillment, billable percentages, timesheets, turnover and P&L)
  • Oversee site audits to ensure funding source compliance and developing applicable improvement plans

Required skills and experience

  • Ability to travel up to 50% of the time
  • BCBA Certification preferred
  • Minimum of three (3) years of experience in leadership roles helping team deliver on quantitative goals
  • Minimum of three (3) years of clinic based operational oversight across multiple funding sources and territories
  • Experience with multi-state denovo clinic launches
  • Advanced Excel and Microsoft Office skills
  • Ability to learn and adapt to new technology platforms
  • Demonstrated ability to coach a team on delivering an exceptional client and stakeholder experience
  • Ability to design new workflows or identify ways to complete tasks more efficiently
  • Understanding of the funding source landscape and deep familiarity with healthcare insurance authorization and billing processes
  • Experience leading through change and helping champion new systems and ways of thinking
  • High degree of independence and ability to take initiative
