Job Description:

Administrative support for the clinical placement director and associated duties within the nursing programs.

Responsible for coordinating all clinical experiences for Mount Saint Mary’s University nursing programs by assisting the dean, directors, program coordinators, faculty, and students in identifying clinical sites to successfully complete evidence-based learning.

Supports the Mission and Values of the University and represents the University to clinical agencies.

Duties and Responsibilities:

Role
Develops and manages relationships with hospitals, community agencies, skilled nursing facilities, and other clinical agency sites by securing clinical placements for nursing students to complete clinical rotation.

Manages relationships with existing clinical agency partners to ensure student, faculty and clinical site satisfaction as well as successful clinical experiences for nursing students.

Coordinates and attends healthcare-related events such as annual clinical affiliation meetings.

Maintains knowledge and understanding of MSMU curriculum and programs and clearly explains to clinical partners.

Participates in practicum course planning with directors and program coordinators in order to request and secure clinical placements.

Works with program coordinators to ensure all placements are requested and confirmed for academic year, and updates the portal regularly to reflect placement information.

Assists with the management of clinical affiliation and training agreements/memorandums of understanding.

Assists with the management of the Board of Registered Nursing clinical placement approval forms.

Assists with liability insurance by ensuring certificates are current and distributed to clinical sites.

Forwards specific information to program coordinators and the clinical onboarding team in order for them to coordinate clinical course needs (e.g., conference room reservations, parking, agency policies, faculty and student orientation).  Works with clinical placement and program directors to address clinical placement issues and clinical partners’ concerns.  Assists with nursing department activities and clinical partnership events, including the Advisory Council Meeting.

Assists in agency site visits to organize and record meetings, collect paperwork, etc.

 Maintains an on-line database for the clinical placement department, including affiliate contracts and contact information, clinical placement portal for current and future terms, and archive of clinical placements for competed academic terms.  Upon request, assist with coordinating and distributiing clinical site assessment for accrediting bodies such as (Employer Survey). 
Information management
Management and coordination of clinical site databases, clinical site lists, and archive clinical placement data.

Creates a schedule of nursing programs’ placements for each calendar year in collaboration with the directors and program staff.

Maintains clinical site files with up-to-date information (BRN approval forms & requirements, evaluations, contracts, and additional site requirements) Other information management duties as developed to facilitate smooth operations of clinical placements.

Communication
Assumes responsibility for office communications of Nursing Clinical Placement Office, including message management (e.g., telephone voicemail, email, regular mail) and filing of messages.

Prioritize incoming and outgoing mail.

Interacts with clinical sites and community partners including confirmation of available clinical sites, clinical site placements and confirming interest in clinical affiliations.

Communicates assignment changes to nursing programs, clinical onboarding team, and clinical agency.

Maintains respectful communication at all times both internally and with clinical affiliates, recognizing our ongoing dependence on each other to provide excellent nurses to meet the health care needs of our communities.

Other Duties and Responsibilities:

Requirements:

Knowledge:
Working knowledge of office policies, procedures, practices and equipment.

Proficient working knowledge of Microsoft Office Suite including Word, Excel, Access, and PowerPoint.

Abilities and Skills: 
Ability to attend off site meetings and meetings at both campuses.  Strong typing, computer-desk based and telephone skills.

Effectively organize, prioritize and handle multiple tasks to meet established deadlines.

Detail-oriented and accurate.  Maintain accurate and timely records.  Understanding of, and sensitivity to, MSMU’s mission and the needs of university students in an ethnically and culturally diverse environment.

Build rapport and communicate/interact effectively with a wide variety of people.

Must be able to manage confidential issues.

Education: 
Minimum of 1-year prior administrative experience involving organization, clerical, and project completion duties.

Experience:
Demonstrated interpersonal and computer use skills, may be as student employee.

Licenses and Certifications:
Maintenance of active CA driver’s license.
