Essential Functions and Responsibilities

The Clinic Operations Specialist is pivotal in creating a warm and welcoming guest experience and ensuring key operational workflows provide seamless interactions for our guests and our team.

Guest Experience

  • First point of contact with guests, creating the first impression of the Clinic and setting the tone for the guest experience
  • Creates lasting and loyal relationships while building treatment and product regimen plans
  • Achieve service and retail sales goals through high level service and consultation
  • Presents a modern, elegant image and elevated verbiage to delight a high end clientele
  • Brings a positive, solutions mindset to work through challenges that may occur
  • Follows procedures and communicates well to enable successful team choreography

Clinic Operations

  • Consistently takes initiative to deliver independent areas of work ownership and projects that enable successful outcomes for the overall team
  • Provides ongoing meaningful and actionable business insights
  • Keeps Clinic programs and client engagement active and up to date
  • Follows procedures to support inventory and ordering of Clinic supplies and retail
  • Builds collaborative relationships with vendors and partners
  • Develops network and activations with partnering brands and neighborhood businesses to generate incremental awareness and new client acquisition
  • Supports Clinic retail with keeping stock full and signage up to date, full merchandising and displays
  • Facilitates special guest and events in partnership with multi-functional corporate partners such as Marketing, PR, etc

General

  • Full and active participation in all Clinic team meetings and trainings, facilitating preparations as needed
  • Full participation in all company meetings and trainings, live or via replay as needed
  • Timely completion of all administrative responsibilities with 100% accuracy
  • Other duties as assigned

Skills, Experience and Education Required

  • Minimum 1 year client service experience within a medical office or medical spa/salon or hospitality environment
  • Exemplary communication and collaboration skills to service guests and vendors in person, in writing and by telephone
  • Effective time management to deliver multiple projects simultaneously in a fast paced, client facing business environment
  • Proactively collaborates and troubleshoots to identify solutions when facing challenges
  • Proficiency with a range of software, devices and apps including Microsoft Office (Outlook, PowerPoint, Excel), appointment booking and sales software
  • Must be able to commit to flexible work schedules, weekends required
  • Must have dependable transportation and able to work consistently in the West Hollywood area of Los Angeles
  • Must provide proof of completed COVID vaccine protocol
