Our history of quality mental health care is due in large part to the dedicated and talented employees whose efforts have helped improve the lives of children, transitional age youth, and their families.POSITION SUMMARYThis position supports managers and employees through a variety of tasks related to organization and communication.

Responsible for confidential and time sensitive material.

Familiar with a variety of the field’s concepts, practices and procedures.

Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner.

May direct and lead the work of others.

Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected.

This is a full-time position.

The schedule for this position is Monday through Thursday, 12:00 p.M.

– 8:00 p.M.; Friday 12:00 p.M.

– 5:00 p.M.ESSENTIAL DUTIES & RESPONSIBILITIESReporting to the Office and Facilities Manager, the Administrative Assistant is responsible for the following:Provide reception services, greets visitors, ascertains nature of business, signs-in visitors and directs visitors to appropriate person, issues visitor’s identification when required.Operate telephone console to receive incoming calls; provides information tocaller or routes caller to appropriate staff; places outgoing phone calls as needed.Record accurate phone messages including name, time of call, nature of business and person called upon.Produce and distributes correspondence memos, letters, faxes and forms.Assist and process documents related to clinicians and doctors.Assist in ordering and receiving office supplies.Maintain inventory of donated items and supplies inventory by checking stock to determine inventory level; anticipating needed supplies and submitting purchase requests; verifying receipt of supplies.Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.Contribute to team effort by accomplishing related results as needed.Carry out administrative duties such as filing, typing, copying, binding, scanning etc.Handle sensitive information in a confidential manner.Resolve administrative problems.Receive, sort and distribute the mail.Greet and assist visitors to the office.Photocopy and print out documents on behalf of other colleagues.Follow agency policies and procedures.Assist in various daily operations.Perform other duties as assigned.BASIC QUALIFICATIONSProven admin or assistant experience.Knowledge of office management systems and procedures.Excellent time management skills and ability to multi-task and prioritize work.Attention to detail and problem solving skills.Excellent written and verbal communication skills.Strong organizational and planning skills.Proficient in MS Office.At least 2 years of experience in the field or in a related area.Bi-lingual in Spanish/English is required.High school diploma or equivalent; college degree preferred.Must have 1 year of scheduling experience.Strong verbal and written communication skills along with the ability to multi-task..
