Team Administrative Assistant

3 month temp-to-hire Team Assistant opening This will be supporting a team of 5-8 individuals.

Hours: 9am-5pm OT after 40 hours This position is remote for now, but individuals must be comfortable going back into the office in the future.

Pay: $20/hr-$22/hr Key Responsibilities & Activities Calendar Management, anticipating schedule and making decisions accordingly Meeting preparation including document preparation and collation Inbox management as required: proactive review and prioritization of emails including email responses for issues within the scope of the TA role such as calendar rescheduling Travel management including flights, accommodation, transfers and full itineraries Invoice and expense management Back-up Team Assistants when out Assist with onboarding new Team Assistants – as required Move Coordinator – Assist with locker management/moves – as required Experience 1-3 years demonstrated success in a similar role, ideally in a professional service Calendar/Inbox management experience for a senior executive with confidence to gate keep calendar and protect time, even when the business is pushing hard.

Proactive approach to issue management on behalf of Executives and capacity to foresee and manage likely conflicts Extensive experience managing complex travel schedules/agendas Ability to deal with the wide range of clients, Executives both internal and external Ability to maintain a strict level of confidentiality in all matters Advanced Microsoft Office Skills (Outlook, Word, Excel, PowerPoint)
