Administrative Assistant is responsible for planning, implementing and coordinating day-to-day operations, as well as performs a broad range of clerical, administrative and general office activities in order to support the facilitation of administrative workflow.

In this role, you will support an individual or multiple staff members by arranging their schedules, appointments and itineraries.Primary Duties and Responsibilities: Schedules appointments and meetings, and manages complex calendars.

Makes arrangements for meetings, conferences, or travel for an individual, group, or department.

Updates the CV and Biosketch for different faculty members within the Department.

Supports administrative processes of professorial appointment.

Formats, types, and edits correspondence, documents, memos, reports, meeting minutes and/or presentation materials.

Researches and responds to inquiries and calls, may escalate to other levels of the organization as appropriate.

Compiles appropriate and necessary documentation from multiple sources to assist with gran submission and workforce planning and / or other department reports.

May prepare summary of information or data.

Organize complex statistical and narrative reports, charts, and exhibits into a complete document suitable for publication and distribution.

Distributes and disseminates information within the department and/or unit.

Orders supplies and arranges for equipment maintenance.

Submits, monitors, and tracks invoices, reimbursements, and supply management.

Incumbent may also assist with preparation and submission of expense reports.

Assists with HR compliance for all AIM employees
– including maintenance of personnel files, and identifying and ensuring completion of required annual competencies.

Establishes and maintains and internal filing system.

Education Requirements:High School Diploma or GED, required.Experience and Skillset: Minimum of 2 years of office and administrative experience, required.

Working knowledge/experience in grants, research, and budgeting is highly preferred.

Ability to handle multiple demands and / or manage complex and competing priorities.

Ability to work with tight timeframes and meet strict deadlines.

Ability to demonstrate time management and priority setting skills.

Ability to use software applications and operate technological devices (e.g., computer, laptop, tablet, smartphone, etc).

Ability to identify problems and resourcefulness to resolve them independently and on own initiative.

Strong analytical and problem-solving skills; excellent organization skills and very detail-oriented; learns new tasks quickly; self-motivated; works well independently with minimal supervision; works well with others; able to multi-task.

Excellent communication (written and verbal) skills.

Strong interpersonal skills for interaction with peers, patients, physicians, and other customers of the medical center.Physical Demands:Able to perform moderate lifting.
