Provide outstanding customer service to guests and all other employees by exceeding our mission statement.
Answer and screen Directors and manager’s telephone calls, and arrange conference calls.
Assess whether callers and/or visitors should have access to information being requested in order to ensure that confidential information is disseminated to authorized persons only.
Assist departmental personnel in the use of computer software/hardware and forms.
(MICS (b) computer applications) Conduct research, and compile and type statistical reports.
Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities, and record and transcribe minutes of meetings.
Coordinate with other administrative staff on all intra-unit operations and procedures; participate in regular supervisory staff meetings and unit staff meetings to discuss and consider operational matters and problems and maintain consistency and coordination of office procedures.
Direct, organize, review and coordinate the work of clerical employees in one or more sections within a major department.
Duties may involve the use of computers, computer terminals and a variety of software and/or conventional office equipment.
Enter information (e.g., investigations, evaluations, call signs, inventory, etc.) into a computerized tracking system in order to originate, update, reconcile, transfer and track data.
Establish, updates and maintains manual filing systems and computer software programs (e.g., databases and spreadsheets) to track information (e.g., encumbrances regarding budget, grants, appropriated funds, subpoenas, property/evidence disposition authorizations, reports and correspondence, equipment usage, meetings, assignments, supplies, etc.).
Explain time and activity, overtime and industrial leave policies in order to coordinate work functions and provide information for employees.
Gather and summarize data for briefs, reports, and correspondence from computerized tracking system and manual files in order to provide accurate information.
Greet visitors in person and provide assistance or refer to appropriate staff member.
Responsible for functioning of all office equipment; serves as liaison with service representatives and makes recommendations for replacement equipment.
Maintain personnel records, including vacation and sick leave; approves monthly time sheets, as needed.
Manage assigned unit’s mail; screen incoming correspondence in order to refer correspondence to appropriate staff member for response and prepares unit’s outgoing mail for pick-up.
Order and maintain office supplies, repair services, plaques and awards; tracks and picks up orders.
Organize and maintain file system, and files correspondence and other records.
Prepare outgoing mail and correspondence, including e-mail and faxes.
Prepare typed copy (e.g., correspondence, minutes, memoranda, briefs, agendas, contracts, reports, etc.) from written or oral information in order to produce error free documents.
Prepare various forms and requests (e.g., purchase requests, purchase requisitions, travel requests, etc.).
Prepare/distribute bulletins and newsletters regarding a wide variety of subjects.
Process time and activity records for district, section, bureau or division to ensure timely entry of records of time worked and activities performed by employees.
Remain current on modern office and job-specific procedures through job-related training courses in order to apply appropriate methodologies.
Ensure compliance with all Minimum Internal Control Standards (MICS) as well as all Tribal Internal Control Standards (TICS).
Present a positive image of the Tribal organization to its guests and vendors and to assist them as required.
Must follow all safety policies and procedures and attend all scheduled safety meetings and training as a condition of employment.
Perform any other duties that may be assigned from time to time.
SUPERVISORY RESPONSIBILITIES: This job does not require supervisory duties.
EDUCATION AND EXPERIENCE (MUST BE DOCUMENTED): High School Diploma or equivalency.
Must type a minimum of 60 net words per minute.
Entry Level: requires three (3) years of increasingly responsible secretarial experience; OR 60 semester hours (or equivalent quarter hours) from an accredited college or university and one (1) year of increasingly responsible secretarial experience.
CERTIFICATION, LICENSES AND ANY ADDITIONAL REQUIREMENTS: Must be able to pass background suitability investigation.
Must obtain a Tribal Gaming License.
Must obtain all other applicable certifications and licenses.
Must provide proof of eligibility to work in the United States within 72 hours of employment.

Some enterprises are open 24 hours per day, 7 days per week; therefore, you must be flexible to work any and all hours.
Must be available for emergency calls 24/7.
Must be available to work weekend and holidays.
Some enterprises are gaming facilities.
Some enterprises are not a smoke-free environment.
Surveillance cameras and audio equipment monitor the premises recording activity throughout most of the facilities on 24 hours per day, 7 days per week basis.
