Gannett Fleming is seeking a quality Senior Office Administrative Manager to join our Los Angeles, CA office! This position requires full-time in-office support.
As a Senior Office Administrative Manager, you will provide support to the office principal, senior management, and other office staff as well as lead and manage reporting administrative staff.
Responsibilities will include:
Maintain a welcoming, safe, and tidy office environment for clients, visitors, and staff,
Manage company correspondence, including phone calls, emails, mail, and packages,
Assist with timesheets and expense reports,
Assist with travel, conference, and meeting arrangements,
Order lunches and assisting with staff & client meetings,
Receive and process vehicle mileage log entries,
Review office vendor related expenses and process invoices,
Maintain office resources (space plans, furniture, supplies, office technology equipment, SharePoint Site),
Work with property management on office leasing matters, sustainability, security access, parking, and work order requests (i.e., HVAC, maintenance, etc.),
Support the Office Principal and be available / accessible for office business matters,
Assist in internal and external communications and responding to routine inquiries from employees and external entities,
Perform human resource duties working with supervisors/delegates on new hire orientation/workspace and termination tasks/decommissioning,
Lead internal activities/events and compliance of the Employee Engagement & Citizenship Program (EECP),
Serve as the safety coordinator (update evacuation plans, organize safety trainings, order equipment) and crisis event administrative representative for supporting offices,
Keep all office manuals and pertinent office documentation updated,
Lead office sustainability programs,
Assist with the growth of the Administrative Learning Program; serve as a presenter or as a subject matter expert,
Co-chair strategic initiative & quality committees,
Provide remote support to an office(s) where administrative staff are not present,
Manage and lead one to two administrative staff

Minimum Qualifications
Bachelor’s Degree preferred or related experience
10+ years of administrative experience
Management, supervisory and leadership experience
Experience working with top leadership levels and interpreting company strategic goals,
Ability to work with virtual / distributed teams
Highly proficient with all Microsoft Office Suite/O365 applications
Experience working with vendors and contract agreements
Understanding of general accounting principles including Accounts Payable
Experience with facility/property management
Elevated experience with hiring and onboarding processes and general Human Resources policies
Must have excellent organizational skills, strong attention to detail, and the ability to multitask and prioritize
Must have excellent customer service skills
Strong verbal and written communication skills required
