Sales Administrative Assistant (MB)

Great DTLA-based Food & Beverage Manufacturing company is seeking an Sales Administrative Assistant to join their team!!

Responsibilities:

  • Process orders and returns. Invoice orders with proper documentation (Purchase Orders, Broker Confirmation, Freight Rates, Proof of Delivery, A/R credit approvals, etc.)
  • Understands price contracts, price levels and finished goods product coding and serves as back up for price changes and product catalog online updates
  • Contribute to team effort, serves as back up as required for CS department
  • Assure the smooth flow of order processing
  • Keep Customers, Brokers and Regional Managers informed
  • Approves vendor invoices for warehouse charges (transfers)
  • Confirm and clarify orders (via customer portal or email), requests freight rates from logistics department as needed
  • Maintains Return Authorization (RA) Log to include rebills
  • Investigates freight discrepancies on invoices and bills carriers accordingly
  • Inquire on order status deliveries with logistics
  • Edit price and product codes before entering in the “system’
  • Work autonomously and checks work for accuracy
  • Processes transfers (over the road) between warehouse locations
  • Informs Logistic Departments and offsite warehouses of any order changes
  • Manage assigned accounts (internal contact)
  • Administrative tasks as assigned
  • Transmit customer order acknowledgements, advance ship notices and invoices via portal third party portals

Requirements:

  • 3- 5 years of experience in administrative support
  • Knowledge of customer charge backs, vendor invoice approval
  • Intermediate skills in Microsoft Office
  • Great Plains, DOT, EDI experience a plus
  • Research and resolution on customer deductions and charge backs
  • Experience processing orders in the food industry
  • Experience with inventory 3PL

Pay: up to $28/hr DOE and qualifications

Duration: temp-to-hire; possibility to become permanent if contract period goes well!

Hours: M-F 7:30 AM – 4:30 PM

Location: onsite in DTLA
