Job Description
The School Office Coordinator is a key point of contact for many of California Collegiate’s stakeholders: students, families, staff, vendors, and community members. The Office Coordinator will help our school to run smoothly and to support teachers and students achieving outstanding results.
Responsibilities
- Create a neat, welcoming & organized office environment; maintain complete sets of all parent & staff forms
- Assist with management of all aspects of the school’s front office including warm and efficient communication over the phone and in-person, data entry, student intake for medical and behavioral concerns, etc.
- Process late arrivals and follow-up with the families of absent students
- Year-round management of student enrollment, course, section & roster configuration, schedule set-up, and withdrawal process in PowerSchool.
- Oversee student & staff attendance data process & ensure that it is reconciled & accurate each day
- Oversee daily data entry and follow up for student discipline system
- Produce academic and school culture reports (i.e. report cards, progress reports, culture reports, etc.)
- Provide leadership team with ad-hoc reports & Data Dashboards on daily/weekly/monthly basis (as requested by Head of School)
- Manage student test administration (interim assessments, state testing, etc.), including the distribution of test materials to the classroom, and the collection and aggregation of test results; ensure that 100% of students are tested 100% of the time
- Coordinate student health services; monitor student health & safety for any unusual/troubling trends; coordinate with team to ensure that students receive appropriate care & immunizations
- Coordinate daily student food services at the campus; ensure the accurate tracking of student meal consumption; troubleshoot with the School Operations Manager
- Serve as point person for teacher technical support in using PowerSchool for attendance and grade book; serve as liaison for PowerSchool-related technical issues
- Maintain school supply closet and assist with inventory control
- Maintain staff work room(s) and other shared work spaces
- Maintain office equipment; ensure that copier machines are always in working order
- Support school-based procedures (assist with supervision during student arrival and dismissal, snack distribution, etc.)
- Assist with placing orders, taking inventory of items received, handle returns/exchanges, etc.
- Communicate effectively with students, parents, organization partners, and colleagues
- Perform other duties as assigned
Qualifications
- Bilingual and bi-literate in Spanish and English required
- Typing speed 40 WPM minimum
- Strong belief that all students can succeed
- Strong communication and relationship-building skills
- Ability to stay organized, work efficiently, and multitask in a fast-paced environment
- Strong PC-based computer skills, and ability to quickly adapt to new computer programs and software
- Solutions-oriented problem-solver who likes making systems work better and more efficiently
- Collaborative team player excited to support the work of the school
- School-based experience is preferred but not required

This position is a full-time hourly role with competitive compensation based on experience.
