As part of a front-of-house team, the Receptionist creates a warm, supportive atmosphere by supporting employee-facing services, welcoming visitors and other service-based tasks as needed.The individual in this role is responsible for reception, including scheduling meetings and travel, answering and directing calls, drafting expense reports and other administrative tasks as assigned.ESSENTIAL DUTIES AND RESPONSIBILITIESGreets employees and announces clients, applicants, and visitors. Conducts guest registration through badging software. Arranges escorts as needed. Issues visitor passes and validates parking. Receives and directs incoming calls to appropriate personnel and voicemail. Assists the Workplace Experience leadership team with general administrative support. Requests building and/or equipment services as needed.Assists with scheduling and preparing meeting and conference rooms. Coordinates setup of conference/meetings rooms. Arranges for and reserves projectors and other meeting equipment, ensuring equipment is in good operating condition. Arranges video and/or web conferencing as needed.Coordinates catering for meeting and events. May negotiate pricing and menus. Secures approvals for catering expenses and reviews invoices to arrange billing to appropriate department or business unit.Utilizes and maintains integrity of databases and other digital tools associated with service delivery, as requested.Responsible for incoming and outgoing mails/packages. May deliver mail and office supplies, requires driving passenger size van.Ensures all billings for business services are invoiced and billed as required.Attend move meetings and coordinate all moves with client contacts. Responds to customer requests and complaints regarding Workplace Experience services.Maintains relationships with vendors that provide services and goods to the office. Ensures all vendors used have current proof of insurance and contractual documentation in place, per requirements.Administers Workplace Experience team member and third-party service provider on-boarding process, including new employee orientation, training, equipment and software ordering.Assists in the completion of the office Business Continuity plan. Take the inventory of office supplies, order office suppliesManage Business Service Center. Ensuring copy machines, binding machine and other equipment is in good operating condition. Arrange service call when is out of order.Make marketing packages ready. (Copy/print, bind, etc.), assist with Marketing materials in InDesign and PowerPointPerforms other duties as assigned.SUPERVISORY RESPONSIBILITIESNo formal supervisory responsibilities in this position.QUALIFICATIONSTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Ability to write routine reports and correspondence.Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor with a strong, professional customer service orientation.FINANCIAL KNOWLEDGEAbility to calculate simple figures such as percentages.REASONING ABILITYAbility to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations.
