Operations Administrative Assistant

Position Summary: The Operations Assistant provides administrative and organizational support to the Arena Operations staff and Arena Operations managers as needed.

Responsibilities: Input payroll scheduling and check timesheets in UltiPro for accuracy before approval by department manager.

Call employees to provide schedules and make any schedule adjustments.

Log and track time off requests and call offs for building services staff.

Complete, track, and close department work orders using eMaintenance.

Maintain files in an organized and accessible manner to include updating information, purging files on a regular basis and creating new filing systems as needed.

Notifies Human Resources of LOA and verification of employment requests.

Coordinate with HR to schedule interviews.

Meets with new hires to enroll them in the timeclock and provide a facility tour.

Complete and track department purchase orders and invoicing.

Compile checklists and distribute to staff for completion.

Provide administrative support for budgeting and Cap/Ex to include research, compiling data, and preparation of summary reports.

Perform other related duties as necessary.

Requirements: 2 years of administrative experience Associates Degree preferred Bi-Lingual (Spanish/English) ability preferred Overall good computer skills including proficiency with MS Office applications Must be able to occasionally lift up to 25 lbs.
