Position Summary

The Coordinator, Office & Reception will be the first point of contact for JPMS in our Century City location. Our receptionist’s duties include offering administrative support across the Century City office. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls. In this position you should have strong customer service capabilities with willingness to be able to solve problems in a timely manner.

Responsibilities

  • Greets visitors / guests and directs them to appropriate location
  • Answers phones and directs calls, as needed; takes messages, if appropriate
  • Receives and delivers mail, documents, packages and courier deliveries
  • Handles meeting spaces, managing reservations, ensuring spaces are kept clean between meetings and other related tasks
  • Assists with kitchen cleaning activities
  • Researches and manages various office support services
  • Manages kitchen, mail/supply room inventory and works with Purchasing to maintain adequate supply levels
  • Serves as safety liaison with the Office of the Building
  • Flexible to new tasks in the areas of Reception, Office Coordination, Administrative Support and others, as needed
  • Conducts any required health protocols (e.g., COVID checks, if any)
  • Supports various HR administrative program(s)

Requirements:

Qualifications

  • High School Diploma required
  • Post-high school education strongly preferred
  • 3+ years’ experience in an office role, performing duties related to reception, administration and office coordination strongly preferred

Competencies / Skills

  • Travel is generally not required
  • Prolonged periods of sitting at a desk required
  • Must be able to lift up to 15 pounds

This is a part time position, working Monday – Wednesday, 8-hour shifts
