Graduate Admission Administrative Specialist/DSO

The USC Office of Graduate Admission is seeking a Graduate Admission Administrative Specialist/DSO (Admissions Counselor I) to join our team!

This role advises applicants on admission policies and procedures on behalf of the Graduate Admission team.

The Graduate Admission Administrative Specialist/DSO evaluates and offers solutions to applicant problems and requests regarding admission.

Communicates in person, by telephone or in writing with applicants about the status of admissions applications, schedules recruitment-related activities, reviews student records, inputs data, generates letters and/or lists utilizing the student database, assists with the preparation of communication materials promoting admissions programs and activities, and serves as a Designated Student Official for I-20 issuance.This position serves as resource to others on departmental and university procedures or in the resolution of moderate to complex problems or issues.

Interacts with university offices to facilitate communications and information exchange.

Ensures confidentiality and controls access to sensitive information such as student records.The Graduate Admission Office works to support 400 graduate programs and 22 USC schools.

The Graduate Admission Administrative Specialist/DSO is a crucial member of the team by helping ensure that the file review process is completed in a timely and efficient manner.

This role is also responsible for maintaining office supplies, helping to manage the departmental budget, fielding inquiries from prospective applicants and university administrators, as well as scheduling meetings with admission personnel across the university.

Additional day-to-day responsibilities include, but are not limited to the following:Provide customer service for prospecting and returning students as well as academic unitsAssist with a large volume of email communicationsAssist with managing fee waiver requestsImplement departmental onboarding for new staffMaintain office equipment and oversee departmental purchasesParticipate in information sessions and other recruitment-related activities, as well as preparing communication materials, such as Welcome USC brochuresServe as a Designated School Official (DSO) to guide current and prospective students through the process of studying in the United StatesThe selected candidate will be expected to coordinate department public relations functions, as assigned, such as special events, conferences, seminars, etc.

Arrange with vendors for sites, facilities, catering, guest accommodations, etc.

Coordinate production and/or distribution of promotional materials.

Maintain unit or departmental database and related records.

Enter and/or verify database transactions.

This position reports to the Senior Associate Director for Graduate Admission.
