Executive Assistant – Administrative

Provide administrative support to the AIDS Clinical Trials Group in their role as local ACTG Principal Investigator and National Chair of ACTG. This position requires an individual who is comfortable working across range of activities from calendar management and coordination to travel arrangements to assistance with projects related to the work of a PI of a large international network of sites conducting therapeutic research in HIV. Coordinate and schedule meetings and appointments and travel arrangements Work as central coordinator of manuscripts and presentations in development, maintain version control and coordinate editing process, assure final signature of all authors and other activities related to journal publication. Duties include preparation of manuscripts, grant proposals, and other correspondence. Create graphs, tables, spreadsheets and slide presentations. Strong understanding and fluency in HIV related research, clinical trials, and general scientific and medical vocabulary or ability to develop these skills. Compose, edit and type documents on dictated tape and handwritten copy utilizing correct grammar when needed. Any and all other duties assigned by MSO and ACTG PI

Qualifications:

Required
1. Calendar management and scheduling skills with complex logistics
2. Organization and time management skills
3. Skill in preparing bibliographies and CVs directly from search materials.

Preferred
1. Knowledge of standard medical and scientific terminology relating to HIV clinical research
2. Proficiency in Word for Windows, PowerPoint, Excel and Outlook e-mail.
3. Proficiency in reference management software such as EndNote
