Job Summary
Under general direction, ensures, supports, and coordinates office operations, procedures and resources to facilitate organizational effectiveness and efficiency. Provides administrative support to the President, executive management, and other management staff.
Essential Duties and Responsibilities
- Provides comprehensive administrative and office management support for the President, executive management, other management staff, and staff members.
- Manages and maintains a close relationship in administrative matters with parent company ECMC Group employees
- Coordinates and oversees issues related to the building and office space: mail delivery, ordering and distributing office supplies, taking on the role of Safety Coordinator, coordinating parking for staff and visitors, and working with the Office of the Building, Building Security and Parking.
- Manages and provides overall coordination and delivery of projects of varying size and complexity, including sensitive initiatives that require diplomacy. This includes working with the Board of Directors as well as setting up external consultants by engaging with the legal department on contracts, procurement and accounting for billing purposes.
- Ensures and delivers all office operational support – including helping to onboard new hires, helping with logistics for conferences, staff meetings, and staff retreats.
- Maintains executive and corporate calendars, schedules meetings or appointments for executive management and Foundation team, prepares materials and coordinates meeting room logistics.
- Prepares correspondence and expense reports, assists on formatting board proposals, contracts and billing.
- Schedules travel arrangements for the President and others.
- Plans, budgets and schedules all onsite meetings, including but not limited to catering, meeting space requirements and travel arrangements.
- Provides administrative support to visiting executive staff while on site and assists in the coordination and tours of external visitors.
- Assists management with budgeting, including invoices and expense tracking when applicable.
- Performs other duties and responsibilities as assigned
Required Qualifications
- High School diploma or GED
- 5+ years administrative assistant experience in an executive office
- 3+ years experience in office management
- Proficient using MS Office products
