If you enjoy this work and would like to interact with internal and external leaders daily, this may be the role for you Aon is currently recruiting an Executive Assistant to join our team in Minneapolis supporting Aon’s Reinsurance Solutions legal team.

Candidates for this position will be asked to provide complex, professional, and confidential administrative support, while also demonstrating flexibility to handle changing priorities and business needs.

This role is hybrid and will offer a mix of office-based and home-based working.Daily ActivitiesThis role has several key responsibilities, including: Scheduling phone calls and video conferences, including coordination of calendars locally and globally across different time zones.Supporting document creation and finalization across a broad range of formats, including the preparation and production of contracts, presentations, correspondence, and related materials.Creating and maintaining strong filing systems, electronically and in hard copy as needed.Updating template documents, filing signed agreements, and collecting data related to such agreements.Liaising and building good business relationships with Aon’s executive leadership and their staff, colleagues across many departments, external clients, vendors and other partners across the globe.Communicating with colleagues and partners on behalf of team members as instructed.Submitting expense reports in a timely manner and assisting with team expenses.Reviewing invoices and coordinating approvals and responses when needed.Coordinating and organizing internal and external meetings, including legal team activities.Organizing travel arrangements, including flights, hotels, and cars.Managing and executing on a variety of tasks as needed, including on-boarding of new colleagues, maintaining the department’s filing system, and ordering office supplies.Skills for SuccessAbility to compose materials as directed by the team.The ability to act as a liaison between team members, clients, and other partners.Strong organizational and management skills, modelling professional appearance and demeanour in a business environment.

Ability to effectively interact with clients and team members and maintain professionalism at all times, with an ability to work in a high-paced, demanding environment.Self-directed prioritization of work and projects and show measurable progress through open communication to leaders and team members consistently and with the highest quality.Understanding of and respect for a high degree of confidentiality is critical.A wide degree of creativity and latitude is expected.Self-motivated, standout colleague who works independently under minimal supervision.Required ExperienceProven track record in a Senior Administrative Assistant or Executive Assistant role.Advanced level computer literacy in Microsoft Office Suite and other programs, as applicable.

Typing speed of 55 wpm with demonstrable accuracy.Excellent organization, customer service skills and outstanding attention to detail.Superior writing skills (grammar, punctuation, spelling and proofreading) and oral and written communication skills.Pragmatism with an abundance of common sense.Ability to multitask and prioritize workload using time management and good organization skills.Excellent interpersonal skills with a high focus on collaboration.
