You will partner with the Manager of Facilities and Administration to ensure the smooth operation of our facilities.
This includes providing general administrative support, assisting with projects, managing the mail, fax and packages for the office, as well as maintaining the kitchen and supply room inventory including ordering supplies and consumables.
Facilities related duties include assisting the team with all requests related to the support, operations, and maintenance of the office.
You will also provide support for any copy or production related requests and cover the reception desk, as needed.You must be flexible, have a “no task is too small” mentality, and enjoy problem solving and process improvement.
Critical thinking skills and a proactive nature are a must.
You should have a desire to learn new things, pay attention to details, and have excellent customer service.How You’ll Help Us Be SuccessfulProvide general assistance (including clerical support and project assistance) and coverage for the Manager of Facilities and Administration.Manage all aspects of mail, fax and package processing and delivery including distribution within the office, logging packages, basic troubleshooting of equipment and coordinating pick-up with courier services.Assist colleagues with producing and coordinating various work products including copying, assembling binders, and producing binder covers, spines and tabs.Collect and destroy confidential documents, as requested.Order, organize, and track inventory for the office, including snacks, drinks, paper products, office supplies, and cleaning supplies.Review packing slips and ensure that miscellaneous consumables and stock have been received correctly; bring discrepancies to vendor’s attention.Assist Manager of Facilities and Administration with RAVE Alert system.Help document and develop office and facilities procedures.Assist the Manager of Facilities and Administration in communicating to building management.Replenish the kitchen, pantries, print stations, conference rooms and other public areas with the applicable supplies.Keep up appearance of the office, e.G.
carpet spot cleaning, walls and glass doors cleaning.Respond to reports of facilities problems and portal requests; follow up accordingly.Assist with catering, set-up and breakdown for staff meetings and special events.Ensure orderliness and cleanliness in “public” areas including reception, conference rooms, restrooms, and kitchens.Manage recycling and shredding program.Support the preparations and execution of office moves.
Work in conjunction with IT Department by providing facilities-related support with moves and installation of phones and computers, set up and break down of the conference rooms.Cover for the reception desk, as requested.What You’ll Need to Be SuccessfulAssociate or Bachelor’s degree2+ years of directly related general office, facilities, or administrative experience, in a professional services firm preferredBasic computer skills and working knowledge of MS Office requiredMust be able to operate basic hand toolsMust be able to regularly lift up to 25 lbs.
