– Administrative Assistant (Sales and Marketing)Job Summary:The position of Administrative Assistant requires proficiency in Microsoft Word, Excel and PowerPoint.
The position requires skills in multitasking, organization, coordination, and verbal and written communication in both Spanish and English.
The position will perform a variety of administrative and documentation duties and assist the Sales and Marketing department.
This position supports both North America and Latin America.Duties & Responsibilities:1.
Communicationsa.
Receive phone and electronic correspondence from customers, vendors, distributors, and others.b.
Answer external requests for information or pass on to appropriate Company staff member for follow up.c.
Send out contracts and proposals as directed by Director of Sales, monitor these documents and their return for proper signatures and form.d.
Forward properly executed contracts to Main Office and keep copies on file.
Monitor contract renewal dates.e.
Filing & Maintenance of all reports, contracts, files, and other correspondence of Sales and Marketing Department.f.
Maintain agendas for Executive Staff and Sales Staffs to include regular updating, and distribution via e-mail.2.
Product Sample Distributiona.
Prepare product sample or literature shipments to customers as directed by Director of Sales.b.
Follow shipping protocol as specified in SOP.4.
Meeting minutes takera.
Assists in minutes taking during tele / video conference or meeting with internal and external parties.b.
Coordinate conference call with all parties.5.
Marketing Events Coordinationa.
Manage contracts for trade shows in North America and Latin America.b.
Coordinate the logistics for shipping marketing booths to trade shows.c.
Ensure that all materials are delivered at the trade show site.6.
Social Media / Websitea.
Maintain Company profiles in social media up to date with relevant information regarding events and activities.b.
Update the company website on a monthly basis.c.
Monitor the website for proper functioning.Candidate must be 100% fluent in both English and Spanish with excellent written skills in both languages.Field Shared NotesAlthough this is a fully remote position the candidates should ideally reside in Florida in one of the following cities: Tampa Bay, Orlando, Miami or Jacksonville: This is due to some travel needed and they have airports close by.
Not too much travel but they may need to attend a few conventions per year.
